Position Information

- Assist in the day-to-day clerical, general fiscal and administrative functions of the College of Science Dean’s office Business Manager.
- Budget: Prepares, submits, summarizes, and communicates budget information upon request from the Business Manager. Assists the Business Manager with all funds including state, MURC and Foundation held in the College of Science. Accountable for personal purchasing cards and fulfills purchasing requirements which requires knowledge of WV state and Marshall University Research Corporation (MURC) policies, and precise reconciliation of all purchases.
- Prepares encumbrances and requisitions as needed which includes obtaining all required documents and signatures prior to the entry. Forwarding documentation to the appropriate area.
- Personnel: Supports employment administration and human resources processes, serving as an additional point of contact with the central HR department for the COS Dean’s Office. Posts open positions in PeopleAdmin. Prepares online payroll certifications. Reviews and reconciles payroll registers, and updates pay distribution. Serves as the assistant point of contact on payroll issues. Assists in the preparation of PARs for open positions, payroll for faculty, hourly employees, on and off-campus adjuncts, graduate assistants, and others when directed by the Business Manager. Will serve as the back-up for FLAC entries in the absence of the Business Manager.
- Travel: Arranges and coordinates travel for COS dean’s office staff, recruitment travelers, Dean and Associate Dean. Assistance with COS departmental office duties in the event of a long-term absence or vacancy.
- Will be the administrator of the Science Olympiad account, COS summer STEM camp accounts, and other accounts as assigned. Ensuring complete documentation, scanning, and forwarding all documents to the Marshall University Research Corporation.
- Update of the Redbook for the College of Science in the absence of the Business Manager.
- Distribute MU Foundation monthly reports to the appropriate areas.
- Performs other duties as assigned, to support the mission and function of the College of Science.
