Purpose & Description
The Fleet Services Manager (aka FSM) supervises and coordinates the repair and maintenance of commercial motor vehicles, trailers for highways, boats (in or out of the water), off-road equipment, and related assets. They establish maintenance schedules, develop work procedures, and direct the operation of maintenance technicians. The FSM assists in fuel operations and manages outside services and vendors. The Fleet Services Manager and the department are critical in keeping the company’s fleet moving, safe and strong.
Skills & knowledge
- Advanced knowledge and experience in services, and activities of a fleet maintenance program, including logistics.
- Advanced knowledge and experience in techniques, methods, materials, tools, and equipment used in the overhaul, repair, and maintenance of gas- and diesel-powered vehicles, equipment, trucks, water vessels, heavy equipment, and related equipment, including ability to accurately evaluate the work of fleet techs involved in maintenance and repairs.
- Knowledge in computer software including spreadsheets, word processing apps, fleet specific programs, messaging, email, video conferencing.
- Experience in negotiating with suppliers and outside services.
- Knowledge and practice of road safety and logistics operations, OSHA, DOT regulations, driver compliance and rules that are relevant to the department.
- Knowledge of proper record keeping and retention, vehicle maintenance and regulatory compliance.
- Skilled in resolving disputes.
- Knowledge and experience of occupational hazards and standard safety practices.

Tasks & Activities
- Maintain departmental compliance with company policies and procedures, including departmental adherence to applicable laws and regulations.
- Direct shop operations, including supply, scheduling, workflow, and personnel; use automated and manual systems in managing supplies of repair parts, tools, fuel, and technical applications.
- Evaluate and inspect maintenance operations and develop and implement corrective action plans where necessary to comply with regulatory and statutory requirements applicable to industrial maintenance operations in fixed facilities or field environments.
- Diagnose complex malfunctions and instruct personnel on isolation and repair of unusual malfunctions.
- Supervise setup, maintenance, and operation of machine tools used to make or repair parts, mechanisms, tools, or machinery.
- Demonstrate to fleet personnel proper techniques and use of new or special equipment to improve maintenance.
- Oversee the inspection of incoming equipment, vehicle, boats, trailers, etc. to determine repair requirements and ensure quality of work performed by inspection.
- Establish maintenance and repair schedules based on equipment schedules and availability of parts, tools, and personnel.
- Make preliminary inspections of damage or recommend routine repairs required.
- Recordkeeping, vehicle performance monitoring and improvement.
- Manage other employees, prepare, and present performance evaluations.
- Schedule, route, maintain and track transport vehicles, including real time vehicle location tracking.
- Negotiate with suppliers.
- Resolve disputes within your department and/or suppliers.
- Analyze the effectiveness of operations.
- Stay abreast of federal, state, and local regulations affecting the operations
- Ensure all registrations and licensing of vehicles, trailers and keeping inspections up to date.
- Developing procedures to maximize productivity, cut expenses and minimize mistakes and waste.
- Work with other managers to meet organizational and budgeting priorities.
- Ensure all Fleet department areas and grounds are clean, organized, and safe.
- Ensure all fleet equipment, vehicles, trailers, boats are in working order, clean and well maintained.
- Participate in required meetings.
- Direct emergency call and/or repairs. Be on call outside of the regular shift to handle emergency situations.
- May be asked to provide services for other building maintenance issues and repairs.

Physical Requirements/Environment & work setting
- Requires standing, sitting, bending, push, pull, walk, turn, squat, stoop, grasp, discern color, and repetitive motion.
- Requires hands to handle, control, or feel objects, tools, or controls.
- Dexterity and hand and eye coordination.
- Requires lifting, carrying, and moving a minimum of 35 pounds.
- Normal visual range and normal audio range, with or without correction.
- Shop environment working near moving mechanical parts.
- Interacts with staff and other organizations and the public.
- Includes exposure to sounds and noise levels that are distracting or uncomfortable.
- Exposure to dust, grease, fumes, gases, potentially hazardous chemicals.
- Physical ability to work indoors and outdoors in an uncontrolled environment.
- Requires traveling by vehicle, or water vessel.
- Must maintain a valid drivers license, current DOT Physical, and MVR acceptable to our commercial auto insurance company.
Education & Experience
- High School Diploma and Technical Diploma/Certificate or seven years of combined equivalent education and work experience.
- Minimum of five years mechanical work on automobiles and/or heavy equipment.
- Must have a current valid driver’s license and a clean MVR acceptable to our insurance company along with a valid DOT physical card.
- Class A CDL highly preferred.
