Maryvale Preparatory School is seeking a full-time Administrative Assistant to the Upper School Head to support the Academic Administration. This is a non-exempt, full-time, 12th month position. The ideal candidate will serve as a welcoming presence for all stakeholders. Also, she/he will have a strong attention to detail and successfully pass a criminal background check. This position will report directly to the Upper School Head.
Responsibilities include:
· Support the needs of the Academic Administration including scheduling appointments, managing calendars.
· Coordinate daily substitute teacher coverage.
- Assist the administration with varied administrative tasks, as needed, including but not limited to, parent/teacher conferences, graduation events, student transcripts, school calendar, Title II, new teacher orientation and employee orientation etc.
- Complete financial reports, reconcile Amazon account, prepare check requests.
- Prepare awards for academic recognition ceremonies.
- Assist with all school events, as needed.
- Ability to prepare and maintain accurate records.
- Coordinate catering needs for various school events.
- Provide coverage for the Reception Office during lunch and additional coverage as needed.
The ideal candidate will possess:
· High school diploma required; college degree preferred.
· Strong computer technical skills with proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint), Google Drive/Suite, and Publisher required
· Working knowledge of Blackbaud Education Edge a preferred
· Excellent organizational skills and the ability to prioritize work
· Ability to react effectively and with composure in emergency situations
· Pleasant and welcoming demeanor, on phone and in person
· Ability to communicate effectively, utilizing interpersonal skills to maintain effective relationships with other department staff, faculty, students, and the public
· Ability to express oneself clearly and concisely when presenting ideas and concepts both in verbal and written form
· Flexibility and ability to manage several tasks simultaneously
· Maintain strict confidentiality regarding all student, employee, and school matters
· Exceptional integrity and demonstrated good moral character and initiative.

Additional Requirements:
· Subject to a criminal background check prior to employment
· Subject to a Child Protection Services screening prior to employment

Salary is commensurate with experience and degree earned and ranges from $45,000.00 to $55,000.00 annually. This position is eligible for full-time benefits including personal and sick leave benefits.
