What are the responsibilities and job description for the Academic Operations Coordinator position at Marywood University?
Essential Functions
- Provide complex and confidential administrative support to the deans and academic leadership
- Ability to make independent decisions and handle daily office routines and inquiries
- Manage appointments and meetings for academic leadership; arrange for meeting space and prepare meeting materials as needed; record and distribute minutes for meetings as needed
- Collaborates regularly with constituents across campus
- Manage office equipment, supplies, mail, and printing
- Assist with maintaining and monitoring operational budgets including processing check requests, purchase requisitions, credit card reconciliations, and expense reports
- Track and maintain faculty personnel records including PT/OL contracts, part-time faculty, summer and seasonal contracts, and independent contractors
- Maintain administrative filing system
- Prepare and distribute Dean’s List letters
- Plans and implements the Academic Affairs responsibilities for commencement and graduation certification
- Additional responsibilities and support for Academic Affairs as needed
- Assists with assessment and accreditation initiatives and academic program review activities
Required Competencies
- Professional interpersonal, oral, and written communication skills with individuals and groups
- Fluency in Microsoft Office, Google Suite, Adobe Acrobat and willingness to learn additional software and technology related to higher education
- Experience with project management
- Ability to manage multiple tasks and priorities
- Excellent organizational and time-management skills

Required Education and Work Experience
- Bachelor’s degree
- 5 years of related experience
