What You Need for This Position

  • High School Diploma or GED
  • A true self-starter with a proactive mindset
  • Strong strategic planning and critical thinking skills
  • Exceptional attention to detail
  • Minimum of 2 years of experience as an assistant in office, personal, or administrative roles
  • HR skills, including posting job descriptions, sourcing resumes, and scheduling interviews
  • Excellent organizational skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and understanding of MAC computers
  • Valid driver’s license and reliable transportation
  • Data entry experience
  • Outstanding written and verbal communication skills
  • Ability to create clean, accurate reports and logs
  • Quick learner
  • Experience in taking meeting notes and presenting information effectively
  • Ability to thrive in a very fast-paced environment
  • What You Will Be Doing

  • Provide comprehensive support to the CEO, COO, General Manager, Intake Manager, and Quality Assurance Manager with various tasks
  • Manage all vendor relationships and communications
  • Handle scheduling, including meetings, interviews, and appointments
  • Perform filing, scanning, labeling, and organizing tasks to maintain an efficient office
  • Conduct quality control of agreements sent by the intake team
  • Mail physical agreements to individuals unable to sign electronically
  • Retrieve mail from the mailroom, scan documents, and distribute to designated attorneys’ offices
  • Ensure the office fridge and cabinets are consistently stocked with food, drinks, and coffee
  • Order drinks, snacks, and supplies (via Amazon or other vendors) when inventory is low, managing inventory levels
  • Oversee recruiting efforts, including posting job descriptions, sourcing resumes, and scheduling interviews
  • Set up and prepare the conference room before meetings
  • Maintain a tidy and clean office environment, including the kitchen, storage room, and conference rooms throughout the day
  • Take detailed meeting notes and present key insights or action items to leadership and teams
  • Thrive in a fast-paced environment, managing multiple priorities efficiently while maintaining accuracy and professionalism
  • Assist upper management with preparing reports, logs, and presentations as needed
