What are the responsibilities and job description for the Clerk IV position at Massachusetts Department of Developmental Services?
The Department of Developmental Services (DDS), Plymouth area office, is seeking a Clerk IV who will provide administrative support to a large number of professional staff and is committed to upholding the department’s fundamental mission of protecting and advocating for adults with intellectual disabilities.
The Clerk IV will quickly and accurately process data from a variety of sources, greet and direct clients and visitors among a variety of other administrative duties.
DUTIES AND RESPONSIBILITIES (these duties are a general summary and not all inclusive):
Area Office Point Person:
- Answers calls and provides information concerning agency services and routes calls as appropriate.
- Provides reception coverage and works with other office clerical staff to maintain coverage of the front reception area as well as DDS phone coverage.
- Receives and distributes incoming and outgoing mail, memoranda, packages etc. to appropriate individuals within the office, prepares mailings, mailing lists as requested.
- Communicates and schedules meetings/ events as requested (Citizen's Advisory Board etc.)
- Operates and oversees standard office machines and equipment and initiates service requests as needed.
- Maintains files and archives systems.
- Data entry/ maintenance of data/ tracking systems.
- Maintains schedules and calendars for the office.
- Provide administrative/ clerical support and projects as assigned.
PREFERRED QUALIFICATIONS
- Demonstrated ability in Microsoft Office Applications- Word, Excel, Teams etc.
- Competency in handling incoming calls with patience and professionalism, at times effectively handling complaints presented or referred to the Director.
- Aptitude to work within culturally diverse environments.
- Demonstrated ability to maintain a professional demeanor in the public forum.
- Ability to plan, organize and carry through on projects/ events.
- Proven ability to organize and maintain filing systems.
- Ability to establish systems to improve overall performance of administrative functions and office operations.
Agency Requirements:
- Must be at least eighteen (18) years of age.
- Must possess current and valid Class D Motor Vehicle Operator's License.
Schedule Information:
- Full-time – 37.5-hour weekly position - 1st shift (Day Shift)
- Monday through Friday 8:45 am to 5:00 pm
- Days off – Saturday and Sunday
