Student Central at Massasoit Community College provides integrated one-stop student services in the areas of admission, billing and payment, financial aid, registration, student records and general enrollment-based advising. The Administrative Assistant I, Enrollment Services serves as the point of entry for the Canton Enrollment Center, and wayfinding at the welcome desk of the Administrative wing. This position performs a variety of front-line responsibilities related to enrollment services. This position serves as the primary point of in-person contact and provides exemplary customer service to prospective, current and former students, families and the public in all aspects of the student enrollment process. Customer service is primarily for in-person transactions and phone but may include email inquiries, and support for on-campus enrollment related events. This position provides general administrative support for Enrollment Services as assigned by the Executive Director or Coordinator.
Essential Functions:
- Provide front desk coverage for Canton Enrollment Center by warmly greeting students, vendors and guests to help navigate and way find on the Canton campus, provide directions and explanation of services by creating a welcoming atmosphere while maintaining a professional demeanor.
- Provides excellent customer service as the primary point of contact prospective, current and former students, families and the public through positive, helpful and efficient interactions in person, by phone and via electronic correspondence.
- Greet campus tours and aiding students with directions to the appropriate departments and offices. Provide accurate information about campus resources, services and activities.
- Assist students with logging into queues and navigating website/MyMassasoit portal self-service options related to enrollment.
- Schedules current and prospective students for individual appointments, group information sessions, workshops, and tours. Notify students and staff of cancelations.
- Provide clerical assistance to the Enrollment Center; filing, maintain databases, data entry, operate office equipment including computer, printer, copier, fax and multi-line phone system.
- Serve as the primary liaison for office supply requests, monitor inventory, create purchase orders to order supplies for the Center. Assist with the planning and organization of campus events, providing logistical support, such as ordering goods and helping to facilitate setup as needed.
- Utilize Banner to process and view student information relative to Admissions, Financial Aid, Registrar and Student Accounts. Articulates enrollment-related student information, next steps, policies and procedures in a clear, thorough and easy-to understand manner.
- Documents transactions/interactions according to Center practices and procedures; assist with document intake process; reviews forms for completeness and updates receipt in Banner
- Responsible for unlocking the office at the start of the day and securely locking it at the end of the day, ensuring the safety of personnel and the protection of sensitive materials.
- Creates and distributes student IDs; monitor supplies and maintains student ID system
- Maintain campus bulletin boards to ensure flyers are posted and up to date information is provided.
- Efficiently manage and oversee all aspects of mail and delivery distribution, ensuring timely delivery and organization of incoming and outgoing correspondence.
- Addresses concerns and complaints respectfully; escalates complex situations to Director or other faculty/staff as appropriate.
- Process and manage requests for office and classroom keys, maintaining an organized system to ensure access is secure and efficient.
- Prepare and post classroom schedules each semester, ensuring all classroom doors reflect the most current information for students and faculty included but not limited to cancelations or room reassignments.
- Maintains an in-depth knowledge understanding of federal, state and institutional policies including FERPA (Family Educational Rights and Privacy Act of 1974). Handle sensitives situations with discretion.
- Executes special projects and performs other duties as assigned to enhance success of students and college initiatives.
Admissions Related Duties:
Answers general questions related to admission including admissions application status, eligibility requirements, deadlines, etc.; provides in-person admissions application assistance; collects and enters recruit information in Banner; makes referrals to Admissions staff as appropriate.
Financial Aid Related Duties:
Answers general questions related to financial aid application status, verification requirements, assist with completing paper and online verification and loan forms. Assists students with questions related to self-service based financial aid related electronic processes, including filing the Free Application for Federal Student Aid (FAFSA)/ Massachusetts Application for State Financial Aid (MASFA) and resolving issues with Federal Student Aid ID's and enabling course protection. Make referrals to Financial Aid staff as appropriate.
Orientation Related Duties:
Help student navigate New Student Orientation. Provide Student ID's
Registrar Related Duties:
Answers general questions related to registration; assist students with completing paper or online registrations, withdrawal, add/drop, change of name and address paperwork. Make referrals to Registrar staff as appropriate.
Student Accounts Related Duties:
Answers general questions related to student accounts including viewing balances, tuition and fees and explaining payment options. provides in-person self-service portal navigation for payment plans, online account review and insurance waiver assistance; makes referrals to Student Accounts staff as appropriate.
Testing & Assessment Related Duties:
Assists students with direction to Testing office, scheduling testing & assessment appointments and logging into queue.
Job Requirements:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.*
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
- Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
