The Administrative Assistant I position reports to the Associate Dean of Professional Development and Academic Innovation and provides administrative support to the staff members, student workers and faculty fellows of the Division of Professional Development and Academic Innovation.
Responsibilities and Duties:
- Provides administrative support to the Associate Dean of Professional Development and Academic Innovation and departments within the division Employee Enrichment and Development and the Office of Online Learning
- Serve as the first point of contact for visitors, faculty, and staff seeking information about the departments within the division.
- Assist in planning and executing campus-wide professional development days and all other events hosted by the division.
- Manage logistics for professional development sessions, including room bookings, technology needs, catering
- Track professional development funding allocations and payments for faculty who participate in paid professional development offered by the Center for Employee Enrichment and Development and the Office of Online Learning
- Track participation in professional development activities and ensure accurate reporting.
- Monitor budget expenditures, process invoices, and assist with financial reporting for the division's activities.
- Coordinates internal communications related to ongoing division initiatives and projects and with other campus departments, external partners, and faculty members.
- Coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Proofread and review materials and maintain appropriate confidentiality and discretion of all records and correspondence
- Receive and manage inquiries to the division by mail, email, phone, and in person
- Assist with purchase orders, budget processes, and direct payments
- Select, train, supervise, evaluate and maintain work-study students as needed
- Focus on the Commonwealth's Equity Agenda by applying related best practices throughout all job functions
- Provide notes for division meetings
Job Requirements:
- Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration, or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.
- Working knowledge of the Microsoft Office Suite, especially Word, Outlook, and Excel
- Ability to work constructively with diverse workforce and student population
- Capable of working independently as well as part of a team
- Strong planning, verbal, and written communication skills
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management, or public administration may be substituted for the required experience.*
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Preferred Qualifications:
- Associate's Degree in Liberal Arts, Business, or Office Management
- Critical knowledge of and usage of Banner, Interview Exchange, and other college systems
- Minimum of five years full-time or equivalent part-time office work
- Experience working in higher education, preferably in a community college
- Attention to detail and the ability to multi-task
- Maintain confidential records
Additional Information:
Position Status: Full-time, State Funded Benefited, AFSCME bargaining unit position
Hours: 37.5 hours per week, occasional nights and weekends as needed
Salary: $2,028.38 bi-weekly ($52,737.88 annually) Grade 15, Step 1

Worksite: This position will be primarily assigned to the Brockton Campus but assignments include all Massasoit sites, which include downtown Brockton, Canton and Middleboro.
