Job Title : Personal Assistant (Dual Business Operations - Building Design & Workforce Development)

Hours : 30 hours per week (Flexible Schedule Required)

  • Office Hours : Tuesday - Friday, 8 : 00 AM - 2 : 00 PM (In-Office, 100 E Vermilion Street, Lafayette, LA)
  • Remote Hours : Self-paced (Time balance and project completion focused)

Compensation : $15 - $25 per hour (Depending on experience and training needs)

Location : Lafayette, LA (In-office and remote)

Job Summary :

We are seeking a highly organized and motivated Personal Assistant to support the owner of dual business operations in the construction design and workforce development industries. This role requires a versatile individual who can manage a dynamic schedule, handle diverse tasks, and effectively multitask and prioritize in a busy environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. This 30-hour per week position offers a unique opportunity to gain valuable experience in the construction and workforce development sectors.

Responsibilities :

  • Schedule Management :
  • Maintain and manage complex calendars, scheduling appointments, meetings, and travel arrangements.

  • Prioritize and manage time effectively to ensure all deadlines are met.
  • Provide timely reminders and updates for upcoming events and tasks.
  • Communication Management :
  • Manage incoming and outgoing emails, phone calls, and other communications.

  • Draft and prepare correspondence, reports, and other documents.
  • Act as a point of contact for clients, partners, and other stakeholders.
  • Office Organization :
  • Maintain an organized and efficient office environment at 100 E Vermilion Street, Lafayette, LA.

  • Manage filing systems, both physical and digital.
  • Order and maintain office supplies.
  • Errand Running :
  • Run personal and business-related errands, such as picking up supplies, delivering documents, and post office visits.

  • Possible travel to job sites.
  • Project Support :
  • Assist with project coordination and follow-up.

  • Conduct research and gather information as needed.
  • Help to organize and maintain job files.
  • Workforce Development Support :
  • Assist with the coordination of training sessions, workshops, and events.

  • Help to maintain records of trainees and program participants.
  • Assist with the distribution of program materials.
  • Construction Design Support :
  • Help organize design files, and samples.

  • Assist with the coordination of client meetings.
  • Possible assistance with ordering materials.
  • Software Skills :
  • Proficiency in Google Suite, especially Google Sheets and Calendar.

  • Experience with Canva.
  • Qualifications :

  • Proven experience as a personal assistant, administrative assistant, or similar role.
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Reliable and trustworthy with a high level of discretion.
  • Valid driver's license and reliable transportation.
  • Ability to adapt to changing priorities and handle multiple tasks simultaneously.
  • Interest in the construction industry, or workforce development is a plus.
