Position Overview
We are seeking a highly organized and professional Executive and Personal Assistant (EPA) to support our CEO. The ideal candidate will be proactive, detail-oriented, and able to handle a wide range of administrative tasks with confidentiality and discretion. This role requires exceptional communication skills and the ability to anticipate the needs of the CEO to ensure smooth day-to-day operations.
Key Responsibilities
Provide high-level administrative support to the CEO, managing schedules, calendars, appointments and general errands as requested.
Coordinate and arrange meetings, including logistics, agendas, and minutes.
Prepare and edit correspondence, reports, and presentations.
Manage travel arrangements including flights, accommodations, and itineraries.
Serve as the primary point of contact for internal and external communications for the CEO.
Maintain and organize files and documents, both electronic and physical.
Assist in project management, tracking deadlines, and deliverables to ensure timely completion.
Handle confidential information with the utmost discretion.
Conduct research and prepare summaries on various topics as needed.
Collaborate with other departments and teams to facilitate effective communication and workflow.
Prepare weekly and monthly reports summarizing CEO activities and outcomes.
Perform additional duties as assigned by the CEO.
Qualifications
Bachelor‘s degree in Business Administration, Management, or related field preferred.
5 years of experience as a PA or EA, preferably in a corporate setting.
Proven experience in supporting senior executives.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Strong organizational and multitasking skills with attention to detail.
Excellent written and verbal communication skills.
Ability to work independently and collaboratively within a team.
Discretion and confidentiality are a must.
Time management skills with the ability to prioritize tasks effectively.
A proactive approach to problem-solving.
