Administrative Coordinator summary
The role of the Administrative Coordinator is primarily focused on accurate data entry essential to producing high-quality fundraising appeals for pregnancy center clients. In addition, the (AC) provides administrative support to the Mustard Seed team, including coordinating schedules, assisting in completing various projects, and ensuring deadlines are met, all while upholding a high standard of quality. This position requires strong proofreading abilities, exceptional attention to detail, and the capacity to prioritize tasks effectively.

Key Responsibilities
- Data Entry and Management: Enter data necessary for producing multiple ongoing projects across 35-100 clients. Track and communicate with team members to ensure all data points are received.
- Quality Assurance: Review and proofread data sheets, final art, and other critical information to ensure accurate and timely project deliverables within established processes and systems.
- Project Support: Assist in the preparation, communication, and delivery of essential job related information, ensuring that project milestones are met and documentation is completed on time.
- Time Management & Scheduling: Coordinate and manage calendars, appointments, and meeting schedules, ensuring efficient use of time and adherence to deadlines.
- Process Improvement: Identify and communicate potential administrative efficiencies to improve workflow, communication, and information management.
- Cross-departmental Communication: Collaborate with internal teams as needed to ensure all project expectations are fulfilled related to inputs and accuracy.
- Document and File Management: Maintain and organize both electronic and physical files, ensuring accessibility and confidentiality.
Skills and Qualifications:
- Education: Associate’s degree or higher in Business Administration, Management, or related field preferred.
- Experience: 2-4 years of administrative experience, with a proven track record of handling large-scale information flow and proofreading or quality control tasks.
- Skills & Abilities:
- Exceptional attention to detail and accuracy in proofreading.
- Strong organizational and time-management skills.
- Ability to prioritize tasks and manage multiple deadlines.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) or similar software.
- Ability to work independently and as part of a team.
