Receptionist

Mat-Su Health Services has an opportunity for a Receptionist to join our Front Desk team.

Position Summary

Under the general supervision of the Practice Manager or Designee, the Receptionist is primarily responsible for answering incoming calls, scheduling appointments, collecting registration information, and providing overall customer service in an efficient, courteous and timely manner. This position provides support to the billing department and providers by performing clerical, reception and communication activities.

Essential Functions

  1. This position requires compliance with MSHS’ compliance standards, including the Code of Conduct, Compliance Program, and policies and procedures. Such compliance will be an element considered as part of the regular performance evaluation.
  2. Greets and directs all individuals seeking services and visitors.  Notifies appropriate staff of their arrival.
  3. Answers switchboard phone system, routes calls, and answers facility information inquires in a pleasant manner.
  4. Appropriately directs emergency/crisis calls.
  5. Facilitates the handling of crisis/emergency situations as needed.  Contacts medical and/or clinical staff for assistance to assure that the needs of the individuals seeking services are met.
  6. Schedules all new and established person appointments.
  7. Schedules appointments appropriate for payer type (Insurance, Medicare, Medicaid, etc.).
  8. Schedules follow-up appointments and internal referral appointments.
  9. Reschedules appointments as needed.
  10. Works closely with Practice Manager and/or providers to maintain a full and accurate schedule of appointments.
  11. Runs reports for scheduling on a daily basis. 
  12. Informs individuals potentially receiving services about initial visit and treatment choices at agency.
  13. Collects demographic information in a timely manner.
  14. Notifies client of preauthorization requirements.
  15. Informs callers of agency policies regarding payment at time of service and availability of sliding scale.
  16. Computes and collects payments at time of service for self-pay, insurance co-pays and deductibles. Performs tasks related to payment collection.
  17. Coordinates with Client Account Representative for those individuals who may need assistance with their balance.
  18. Responsible for maintaining a change fund and completing daily cash reconciliation.
  19. Remains familiar with payer payment restrictions determined by provider status/credentials/type.
  20. Remains familiar with and adheres to published Agency policies.

 

Qualifications


Minimum Education and Experience

  1. High School Diploma or Equivalency. 
  2. Minimum of one year prior experience preferably in a medical office reception, billing, or scheduling position.
  3. Minimum of one year prior experience answering multi-line phone system.

 

Knowledge, Skills, and Abilities

  1. Demonstrated strong customer service skills.
  2. Demonstrated keyboarding expertise and ability to operative a 10-key calculator by touch.
  3. Knowledge of basic office procedures and equipment, confidentiality, filing, telephone etiquette, and the ability to use computer programs to include Word, Excel, and other Microsoft products.
  4. Demonstrated ability to communicate effectively, both orally and in writing, and to relate in a positive, courteous, and caring manner to staff and the individuals seeking services.
  5. Ability to work independently, remain self-motivated, and promote cooperation and cohesiveness among co-workers.

General

  1. Clear background check.
  2. Current tuberculosis screening test result.
  3. First Aid, CPR and CPI (Nonviolent Crisis Intervention) certifications must be obtained when offered through the agency; may substitute current MANDT certificate for CPI.
