Seeking a Front Desk Administrator to join our 5-person, in-office operations team. The right candidate is a problem-solver and multi-tasker with tech savvy. This position requires a confident, calm and can-do individual. This position occupies the front desk and is key in delivering a friendly and professional first impression for Matthews, Carter and Boyce.
Schedule
This is a position with a variable schedule and therefore will be paid on an hourly basis. If 40 hours/week is exceeded, hourly pay would be earned at time-and-a-half. Hours/week will be approximately as follows:
40 ** hours/week ~ 1/1 – 5/15; 8/15 – 10/15 (6 ½ mos. of the year)
27 ½ hours/week ~ 5/16 – 8/14; 10/16 – 12/31 (5 ½ mos. of the year)
**Availability required for some overtime hours during heavy deadline season (February - April). There will periodically be some Saturday hours to support the team, but adequate advance notice will be given for that. This position is fully on-site at our Fairfax office.
Primary responsibilities include:
Daily Tasks during Busy Season
Client Relations (25%)
- Greet clients, assist them with tax information / tax package, navigate them to conference rooms, and offer and provide refreshments as they wait.
- Contact clients and inform them their tax return is ready, via email and/or phone.
- Receive and route phone calls to the appropriate department and staff.
Staff Relations (5%)
- Work with staff to resolve any problems and concerns.
- Fill request for special projects, (i.e., create mailing labels for remote staff, staff name tags and changing office name plates)
Shipping and Receiving (40%)
Shipping (10%)
· Courier service
· Client Pick-ups
· USPS and FedEx Mail
· Confirmation Letters
· Marketing requests
· New Client Welcome Cards
Receiving (30%)
· Organizer Intake
· USPS and FedEx Mail
· Office Supplies .
Other including (30%):
· Monitor Operations Mailboxes
· Facilities and Equipment maintenance point-of-contact
· Filing
· Cleaning workspaces
· Special Requests
· Restocking copiers and kitchen supplies
· Must be able to lift 25 pounds
Daily Tasks in the non-Busy Season
The above listed daily tasks remain but are greatly reduced in the non-busy season. Special projects will often get tackled as time permits during this timeframe.
Critical skills:
· Project calm and professional demeanor. Pleasant “telephone voice” and experience using multi-line phone systems in receptionist capacity.
· Proficiency with eFax, XCM and MS Office Programs including Outlook, Word, Excel, PowerPoint, and PDF document creation/conversion.
· Ability to type approximately 65 WPM; excellent proofreading, grammar, organizational skills, and attention to detail.
· Ability to take direction, ask appropriate questions and complete tasks independently within deadline dates in most efficient manner.
· Experience performing data input into various firm and third-party systems.
· Thrive and enjoy multi-tasking and working in a fast-paced, deadline-driven environment, with aptitude for quick learning.
· Strong interpersonal skills and organization skills.
· Friendly team player who is helpful, respectful, outgoing, and positive.
This position reports directly to Client Services Team Lead/Office Manager and supports areas overseen by the MCB Controller and Director of People Strategy.
