Position Overview:

MAX Ultimate Food is seeking a highly organized, detail-driven, and dependable Culinary Administrative Assistant to support our fast-paced and dynamic catering division. This is a unique opportunity to join one of Boston’s premier catering companies, where precision, creativity, and excellence come together to create extraordinary culinary experiences.

In this pivotal role, you’ll act as the organizational anchor for our culinary team — developing and distributing daily production lists for our Boston commissary, meticulously cross-referencing multiple Banquet Event Orders (BEOs), and ensuring every item is accounted for and ready for execution. Your keen eye for detail and ability to manage complex administrative processes will be essential in helping our events run seamlessly.

You’ll work in close collaboration with our Executive Chef and kitchen teams, ensuring nothing is overlooked and every event exceeds expectations. Key Responsibilities:

In this role, you’ll support the culinary team by handling a variety of administrative tasks, including but not limited to:

· Collaborate with the Executive Chef to create and distribute detailed daily prep lists for the culinary team, outlining all items that need to be prepared.

· Maintain and update kitchen production schedules, inventory lists, and event prep timelines.

· Assist in recipe scaling, formatting, and documentation.

· Input and organize catering menus, recipes, and production notes using kitchen software and spreadsheets.

· Track incoming orders and coordinate prep needs based on event schedules.

· Providing general administrative support to keep culinary operations running smoothly.

· Support the kitchen team with administrative follow-up on prep completion, staff schedules, and daily reports.

· Perform other administrative duties as assigned to support culinary operations.

Requirements & Qualifications:

  • Minimum 3 years of administrative experience
  • Must be able to work the following schedule: Monday through Friday from 7:00AM to 3:00PM or 8:00AM to 4:00PM
  • Proficiency in Microsoft Suite applications especially Microsoft Excel
  • Ability to quickly learn and adapt to new kitchen management software or catering systems
  • Comfortability in using Apple products and general office equipment
  • Pay great attention to detail and maintain an efficient record of accuracy
  • Ability to multitask and thrive under pressure in a fast-paced environment
  • Strong communication skills, with the ability to effectively collaborate with a team
  • Ability to maintain organization and composure during high-volume periods
  • Familiarity with culinary terminology and kitchen operations is a plus
  • Bilingual in Spanish is preferred but not required

Education:

  • Culinary training is preferred but not required.

Compensation & Schedule:

  • Starting Pay: $25-30 per hour, based on experience.
  • Schedule: Monday through Friday from 7:00AM to 3:00PM or 8:00AM to 4:00PM
