The Human Resources Specialist provides Human Resources support to the Chicago office to support department and Firm goals.
Responsibilities
Essential Functions:
- Provides day-to-day HR support for lawyers
- Manages new hire onboarding via Mayer Brown onboarding platform
- Facilitates orientation and onboarding for lateral associate and counsel hires
- Assists with New Lawyer Orientation at the national and local levels – this includes scheduling speakers, working with conference services and IT for space planning
- Coordinates leaves of absence, client and Mayer Brown secondments, office transfers, remote work arrangements, work from home requests, separations, and reclassifications
- Liaises with Attorney Personnel to ensure updates are made to Peoplesoft for LOA’s, reduced schedules, new hires, status changes and other lawyer-related workflows
- Provides HR support on immigration needs including completing tasks related to PERM application process
- Manages all aspects of attorney office transfers and coordinates approvals as necessary
- Point of contact for short and long-term disability and various leaves of absence programs for the Chicago office including calculating dates, preparing forms, answers inquiries from attorneys, monitors absences, maintains all LOA paperwork
- Oversees the preparation of all attorney Alternative Work Schedule (AWS) planning and paperwork
- Works with HR Manager on proposing, developing and implementing systems and procedures to support the efficient operation and productivity of the department
- Conducts and documents Exit Interviews for attorneys and shares information
- Assists with the annual evaluation process
- Provides support for other generalist HR functions for attorneys in Chicago office as needed
- Additional duties and projects as requested or required
Qualifications
Education/Training/Certifications:
- Bachelor’s degree in a related field. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job
- PHR/SHRM-CP a plus
Professional Experience:
- 3 years of HR experience in a professional services environment required
Technical Skills:
- Proficiency in Microsoft Office products required
- Knowledge of HRIS systems, PeopleSoft experience a plus
Performance Traits:
- Ability to multi-task, take initiative, prioritize work and meet deadlines
- Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
- Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
- Ability to work under pressure, meet deadlines with shifting priorities
- Must be a self-starter with a high level of initiative
- Strong customer service skills, able to anticipate needs and exercise independent judgment
- Strong attention to detail, organizational skills and the ability to handle multiple projects
- Maintains confidentiality and exercises discretion
- Exercises solid strategic thinking and problem-solving skills
The typical pay scale for this position is between $83,800 and $110,900, although the actual wage or salary could be lower or higher if the candidate’s education, experience, skills and internal pay alignment are different from those specified.
