Dealer Services Coordinator

Summary

As a Dealer Service Coordinator at Mayfly Outdoors, you will play a vital role in enhancing Delear experiences and ensuring smooth operations within our service department. This position is essential to our mission of delivering exceptional service and fostering a community of passionate outdoor enthusiasts.

Dealer inquiries and requests:

• Receiving and responding to dealer questions and requests via phone, email, chat, or other communication channels
• Provide lead time delivery for both new and previously placed Mayfly Outdoors orders
• Assist with responding to dealer service emails and product needs
• Updating dealer information, reviewing account details, and making necessary adjustments

Complaint handling & Issue resolution:

• Professionally managing dealer complaints, addressing concerns, and finding appropriate resolutions
• Identifying the root cause of dealer problems and effectively troubleshooting to find solutions
• Maintain communication with dealers regarding their concerns until resolution is completed and documented

Product knowledge:

• Maintaining in-depth knowledge of company products and services to accurately answer dealer questions
• Become an expert with Mayfly Outdoors products in order to provide technical support to dealers
• Maintain current knowledge of products, production schedules, and lead times

Order processing:

• Taking dealer orders, verifying details, and processing payments
• Assist Dealer Service & Warehouse Manager by entering phone orders and assisting outside sales representatives when requested
• Assist with order payments to align with order shipments
• Assist with collecting outstanding balances on existing orders.

Dealer relationship building:

• Establishing positive rapport with customers through friendly and helpful interactions

Feedback collection:

• Gathering dealer feedback to identify areas for improvement
• Attend weekly sales meetings with focused input toward the continued improvement of the Mayfly Outdoors brand and budget goals
• Provide immediate updates to the Dealer Service Manager on any dealer order delays or product availability

Cross-functional Collaboration:

• Work closely with other departments such as Customer Services, Shipping, Production, and Marketing to ensure excellent dealer service.
• Assist the shipping department with fulfilling orders when needed and as business needs dictate.
• Back up for Customer Service representatives to monitor Front lobby access, and ensure doors are unlocked/locked during appropriate time frames in their absence.
• Assist Brand Managers and Marketing team with product packaging for tradeshows and media events.

Other duties as assigned

Qualifications

• Fly fishing and outdoor industry experience.
• Bachelor’s Degree a plus
• 1 year of sales and/or dealer service experience
• Strong leadership, communication, and interpersonal skills
• Attention to detail is imperative for success in this position
• Balance multiple tasks while managing time efficiently
• Ability to work under pressure in a fast-paced environment
• Knowledge and experience working within an ERP software systemProven experience in customer service or guest services roles, preferably in an outdoor or retail environment.

Pay: $16.00 - $20.00 per hour
