Receptionist – Full-Time

Maynard Inc. is seeking a friendly and professional Receptionist to join our team. This role is responsible for managing front desk operations while providing essential administrative support to ensure the smooth running of the office. The ideal candidate will be the first point of contact for visitors and employees, offering excellent customer service and efficient administrative assistance. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment
Key Responsibilities:
- Greet and welcome visitors, ensuring a positive first impression.
- Answer and direct phone calls in a professional and courteous manner.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain a clean and organized reception area.
- Schedule and manage appointments, meetings, and conference rooms.
- Assist with general office operations, including supply management and ordering.
- Support HR and management with administrative tasks, such as document preparation and filing.
- Maintain employee and visitor logs as required.
- Coordinate travel arrangements and accommodations for staff as needed.
- Handle basic IT troubleshooting, such as printer issues and system logins, or escalate as necessary.
- Assist with invoice processing, expense tracking, and petty cash handling.
- Maintain and update office records, contracts, and other essential documentation.
- Support payroll and HR functions by collecting and organizing necessary documents.
Required Skills & Qualifications
- High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
- Previous experience in a receptionist or administrative role is highly desirable.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Professional appearance and demeanor.
- Ability to handle confidential information with discretion.
- Strong problem-solving skills and attention to detail.
Work Environment & Schedule
- Office-based position with standard business hours; occasional overtime may be required.
- Requires sitting for extended periods and some light lifting (office supplies, packages).
