What are the responsibilities and job description for the Workflow Administrator/Administrative Assistant position at MBE CPAs?
What's the role?
Responsible for managing and overseeing the flow of tasks within a system, ensuring smooth operations by monitoring task progress, configuring workflows, and resolving issues to optimize efficiency across teams or departments within an organization. This includes:
Maintain client management & tax software through cleanup, updating and inactivation.
Implement, set up, maintain, train and report in PracticeERP.
Assist with workflow management.
Assist with Tax Training department setups & reports (summer-fall only).
Track due dates for client returns.
Coordinate calendars/scheduling events.
Taskflow configuration.
Assist with organized Firm groups such as meetings, notes, work follow up.
Ability to train others - customer service skills.
Knowledge of Netsuite Platform preferred.
Other duties as assigned or requested.
What experience and skills do I need to be successful?
- Comfortable working daily in Microsoft Office products including Excel, Word, and Outlook.
- Strong attention to detail and accuracy.
- Ability to maintain a high level of enthusiasm and dedication to the work at hand.
- Experience working on project teams.
- Ability to maintain confidentiality regarding client and/or employee matters.
- Experience working in NetSuite or related billing software a plus.

What will my schedule look like?
This role supports our office hours of Monday-Friday 8a-5p. The role will typically work an 8.5 hour shift with a 30 minute lunch break each day. Generally overtime is not expected and May-September the office closes at noon on Fridays for summer hours.
