MBL Technologies is seeking an Executive Operations Specialist to join our team. The Executive Operations Specialist will support senior leadership in all administrative, operational, and executive tasks, ensuring smooth operations across the entire suite of senior operations. The Executive Operations Specialist must be creative and thrive working in a large matrix environment that is mission-driven and result-driven program.

This position offers a hybrid work environment but requires proximity to Washington DC for occasional on-site needs.

Key Responsibilities :

  • Complete a broad variety of administrative tasks for leadership including managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Schedule and attend meetings, capturing meeting notes and recording action items.
  • Plan, coordinate, and ensure schedules and executive trackers are followed and respected.
  • Work closely and effectively, ensuring leadership is informed of upcoming commitments and responsibilities.
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follows through on projects to successful completion, often working under deadline pressures.
  • Provide leadership in building relationships crucial to the success of the organization and manage a variety of special projects for the Chief of Staff.
  • Maintain discretion and confidentiality in relationships with senior leaders.
  • Adhere to compliance rules and regulations set in contract requirements regarding department and committee matters, including advanced distribution of materials before meetings in electronic / paper format.
  • Lead and assist in the coordination of speaking engagements and communication efforts.
  • Plan and coordinate logistics for internal and external events, including meetings, training sessions, and workshops.
  • Required Experience / Skills :

  • Experience supporting C-Level Executives, preferably in a technical or healthcare industry.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficient in Microsoft Office (Outlook, Word, Excel, Power Point, and Teams).
  • Proficient with Adobe Acrobat and various social media web platforms.
  • Bachelor's degree (may substitute additional 3 years experience for degree.)
  • 5 years of professional work experience in administrative support, communications, management consulting, business administration, or related field.
