Position Summary

We are seeking an Accounts Payable and Payroll Specialist to be responsible for timely and accurate payments and reimbursements to outside vendors and employees of MBX Biosciences. Key responsibilities will include handling payroll functions, including calculating employee hours, managing deductions, and addressing any payroll-related inquiries. You will also process invoices, reconcile accounts, and maintain accurate records of all payment activities. Communication, organizational skills, and attention to detail, as well as the ability to multi-task, are key to successful incumbents consistently functioning at the highest level with the utmost regard for the MBX’s mission & values. A proactive attitude and a problem-solving mindset are vital for thriving in this dynamic environment.

Key Responsibilities

Including but not limited to:

  • Assist in the preparation of multi-state semi-monthly payroll
  • Prepare semi-monthly payroll journal entries and assist with monthly/quarterly payroll reconciliations.
  • Responsible for maintaining up-to-date registrations for all applicable state and local tax jurisdictions and any related correspondence with jurisdictions
  • Coordinate with Human Resources on payroll matters related to new hires, terminations, changes in salary, tax withholdings, deductions, benefit changes, leave of absences and any other employee pay changes
  • Verify, remit and finalize the transmission of employee deductions for the 401(k) to our respective plan provider.
  • Responsible for invoice processing and review, including coordinating appropriate approvals and processing payments to outside vendors and employees.
  • Ensure all invoices are entered and classified to the correct department and GL codes in NetSuite.
  • Review and reconcile vendor statements to ensure all invoices have been received.
  • Respond to all payment and general AP inquiries and resolve matters with accuracy and efficiency.
  • Work with external vendors, consultants, department personnel and executive assistants to resolve discrepancies or obtain missing information on invoices and expense claims.
  • Oversee all new vendor setup in NetSuite, including obtaining appropriate verification documentation and authentication of vendor payment details.
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and generally accepted accounting policies
  • Oversee T&E expense report review and processing via Concur, including verifying reimbursable expenses are in accordance with policy and coded to appropriate GL accounts
  • Support month-end close, including timely close of AP, preparation of journal entries and balance sheet account reconciliations, as applicable.
  • Supports Controller/Finance department on miscellaneous/ad-hoc projects.
  • Other responsibilities as assigned.

Education & Qualifications

  • 3 years of experience in accounts payables or payroll processing
  • Bachelor’s degree; major in Accounting preferred
  • Proficiency with NetSuite and Concur a plus
  • Very detail-oriented and well organized
  • Ability to work independently in a fast-paced environment and handle multiple projects at once
  • Creative thinker who is interested in improving process and enjoys taking initiative
  • Excellent verbal and written communication skills.
  • Other responsibilities as assigned.
