Are you a highly organized and personable professional who thrives in a fast-paced environment? McAllister Orthodontics is seeking a Front Desk Scheduling Coordinator to join our dynamic team. As the first point of contact for our patients, you’ll play a crucial role in creating a positive and welcoming experience while ensuring our daily schedule runs smoothly and efficiently.
Responsibilities
Warm Welcome and Communication:
- Create a friendly, welcoming environment for patients and visitors.
- Exhibit excellent and professional verbal and written communication skills.
Patient Check-In and Check-Out:
- Assist patients with check-in by ensuring all paperwork, contact information, payment details, and insurance information are updated.
- Schedule and confirm follow-up appointments during check-out.
Schedule Management:
- Maintain a productive daily schedule by reviewing upcoming weeks and proactively contacting patients to fill appointment slots.
- Keep the Google calendar accurate and up to date.
Patient Interaction and Support:
- Encourage participation in marketing promotions and initiatives.
- Respond promptly to patient inquiries via phone, voicemail, and email.
Administrative Duties:
- Organize and scan patient documents into the practice software.
- Verify patient financial information using practice systems.
- Ensure front reception and restroom areas are clean, organized, and stocked.
Team Collaboration:
- Support team members by contributing to an efficient and well-coordinated work environment.
Qualifications
- Strong organizational skills with an attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Proficient in using scheduling and practice management software.
- Exceptional customer service and interpersonal skills.
- Previous experience in a similar role is a plus but not required. On-the-job training is available.
