Job Description:
As a Tax Department Assistant, you will provide crucial support to our tax preparers, ensuring the smooth and efficient operation of the department. This is a hands-on, full-time role, where you’ll help coordinate the inflow and outflow of sensitive client information, prepare invoices, facilitate filing processes, and support other essential tasks. Responsibilities:
- Provide daily assistance to tax preparers, ensuring smooth operations.
- Coordinate the inflow and outflow of sensitive client information securely and efficiently.
- Coordinate client correspondence with guidance provided by tax preparers.
- Prepare and send invoices to clients.
- Facilitate the filing of tax returns in accordance with established processes.
- Collect payments to transmit to taxing authorities.
- Archive important documents and ensure proper record-keeping.
- Provide regular status reports to tax preparers to keep them informed of progress.
Qualities We’re Looking For:
- Ability to work well under pressure, particularly when faced with tight deadlines.
- Comfortable working with technology, numbers, and the Microsoft Office suite.
- Excellent communication skills, both written and verbal, with the ability to explain complex information clearly.
- Able to work independently while also being a strong team player.
- Personable, client-oriented, and detail-oriented.
- Highly organized with the ability to prioritize multiple tasks.
Preferred Experience:
- Experience with UltraTax CS Tax Prep.
- Familiarity with CCH Axcess Workflow (formerly XCM).
- Experience using Tabs3 Billing Software.
- Familiarity with SurePrep software.
- Knowledge of Adobe Acrobat.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint).
