Job Description:
As a Tax Department Assistant, you will provide crucial support to our tax preparers, ensuring the smooth and efficient operation of the department. This is a hands-on, full-time role, where you’ll help coordinate the inflow and outflow of sensitive client information, prepare invoices, facilitate filing processes, and support other essential tasks. If you thrive in a team-oriented setting and excel at managing multiple priorities, we’d love to hear from you!

Responsibilities:

  • Provide daily assistance to tax preparers, ensuring smooth operations.
  • Coordinate the inflow and outflow of sensitive client information securely and efficiently.
  • Coordinate client correspondence with guidance provided by tax preparers.
  • Prepare and send invoices to clients.
  • Facilitate the filing of tax returns in accordance with established processes.
  • Collect payments to transmit to taxing authorities.
  • Archive important documents and ensure proper record-keeping.
  • Provide regular status reports to tax preparers to keep them informed of progress.

Qualities We’re Looking For:

  • Ability to work well under pressure, particularly when faced with tight deadlines.
  • Comfortable working with technology, numbers, and the Microsoft Office suite.
  • Excellent communication skills, both written and verbal, with the ability to explain complex information clearly.
  • Able to work independently while also being a strong team player.
  • Personable, client-oriented, and detail-oriented.
  • Highly organized with the ability to prioritize multiple tasks.

Preferred Experience:

  • Experience with UltraTax CS Tax Prep.
  • Familiarity with CCH Axcess Workflow (formerly XCM).
  • Experience using Tabs3 Billing Software.
  • Familiarity with SurePrep software.
  • Knowledge of Adobe Acrobat.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint).
