Job Summary:
The Bookkeeper/Administrative Assistant is responsible for providing financial, administrative, and organizational support to McCartney Property Management. This dual role combines accounting and bookkeeping responsibilities with administrative duties, ensuring seamless operation and support for the General Manager and condominium association management.
Duties and Responsibilities:
Financial and Accounting Duties:
- Manage accounts payable and receivable.
- Prepare and deliver financial reports in a timely manner.
- Conduct banking transactions and reconciliations.
- Utilize vacation rental software, double-entry accrual accounting, and Microsoft Office for financial management.
Administrative Support:
- Assist the General Manager in managing a wide range of responsibilities.
- Organize and coordinate annual homeowner, board of directors, and teleconference meetings, including recording minutes and action items.
- Maintain and update association notebooks, owner lists, and official records.
- Archive important information, including corporate reports, insurance policies, and management contracts.
- Handle correspondence for the General Manager, including condominium association and owner communications.
- Maintain and order office supplies and ensure the office operates efficiently.
- Perform general filing and administrative tasks.
General Responsibilities:
- Stay current with software programs and office equipment.
- Demonstrate MPM shared values with a focus on excellence in communication and customer relations.
- Protect confidentiality and demonstrate a positive attitude.
Special Qualifications:
- Proficiency in double-entry accrual accounting, and Microsoft Office.
- Excellent organizational skills, attention to detail, and ability to work independently.
- Knowledge of condominium documents, contracts, and association management.
- Ability to communicate professionally and effectively.
- Available to start immediately
Reporting Relationship:
The Bookkeeper/Administrative Assistant reports directly to the General Manager.
Criteria for Evaluation:
- Timely completion of financial reports and assigned tasks.
- Ability to take tasks from initiation to completion with minimal supervision.
- Demonstration of a positive attitude and confidentiality.
