Job Description

As an Office Administrator, you will be responsible for coordinating office activities and operations while providing clerical and administrative support to management. This role also involves assisting retail customers.

Supervisory Responsibilities

  • No supervisory responsibilities are associated with this position.

Duties/Responsibilities

  • Ensure efficient office operations and compliance with company policies by directing office activities and functions.
  • Perform daily cash balancing procedures accurately and prepare bank deposits as per company guidelines and management direction.
  • Process paid outs, write-checks, NSF returns, and payments, and pay local store invoices as required.
  • Assist with other assigned duties of the retail store as delegated by management, such as:
    • Routing incoming mail and other communications.
    • Collecting lien information for company proceedings.
    • Processing sales tax exemption tickets.
    • Ensuring employees adhere to sales tax exemption procedures.
    • Maintaining designed file control and audit systems for customer files.
  • Greet customers as they enter the location.
  • Operate the cash register accurately using the UPC scanner, quick key, and product keywords.
  • Accept money in the form of cash, checks, and credit or debit cards for items purchased.
  • Assist customers with locating products, questions about products or prices, and use of products.
  • Organize and maintain work areas, including customer transaction tickets.
  • Ensure accurate transactions by balancing the cash register and sales at the beginning and end of each shift.
  • Process returns and exchanges according to store policy.
  • Assist with stocking and restocking products, front-and-face products on shelves, and assist with housekeeping.
  • Research and resolve customer invoicing issues related to company charge accounts and process/disperse account payments.
  • Enter new customer data and other sales data for current customers into computer database.
  • Resolve customer complaints, escalating them to management when necessary.
  • Attend all store meetings and training sessions.
  • Perform other related duties as assigned.

Required Skills/Abilities

  • Excellent customer service skills.
  • Good verbal communication skills.
  • The ability to operate available equipment, such as cash registers, calculators, or scanners.
  • Basic mathematical skills, as needed to make change and give refunds.
  • Knowledge of company products and services, as well as customer-related policies.
  • A valid driver's license and auto liability insurance are mandatory.

Education and Experience

  • A high school diploma or equivalent is preferred.
  • Successful completion of on-the-job training, completing levels 1 and 2 of positional training offered.

Physical Requirements

  • Prolonged periods of sitting or standing and working on the computer or related equipment.
  • Lifting up to 30 pounds at times and occasionally lifting/moving up to 50 pounds.
  • Climbing ladders to reach products both high and low.
  • May need to work nights, weekends, and holidays.
  • The ability to perform repetitive movements over long periods.
