We are urgently seeking a reliable, take charge individual to fill the Office Manager position open within our company. He/she will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the Office Manager are to be accomplished efficiently and accurately, within a fast-paced office environment. The ideal candidate will be a self starter, have excellent time management skills, as well as have the ability to effectively prioritize their workload with little supervision and in accordance with our company's expectations for this role. They will be self-motivated and trustworthy. The Office Manager ensures smooth running of our company’s office and contributes in driving sustainable growth.
Responsibilities:
Answers telephone lines. Assists Clients and completes client set-up process. Welcomes people into the office. Manages office correspondence. Scans documents as requested. Checks and distributes all mail. Keeps office supplies stocked. Keeps accurate records of billable and unbillable time charged. Prepares deposits as received, weekly at a minimum. Delivers deposits to the bank when necessary. Checks for rejected tax returns. Attends and notates staff meeting. Prepares checks for payables. Runs A/R aging report and contacts clients for collection of outstanding accounts. Assembles all types of tax returns and delivers returns using the applicable method. Monitors and follows-up with clients regarding the return of tax supporting documents. Mails estimated tax reminder letters. Sends welcome emails to new clients. Processes new business setups on Sunbiz and applies for employer identification numbers as instructed. Maintains and monitors tax return status. Understands and monitors workflow so that we meet all due date requirements. Contacts vendors for support as requested. Processes invoices for payment. Assists with documenting McCullar & Company processes and procedures. Supports teammates as requested to ensure that we are exceeding client expectations. Mails quarterly estimated tax letters to clients if not provided to client electronically. Follows-up on returning hard copy supporting documentation to the clients if requested. Assists tax preparers with collecting any necessary documentation required for filing client’s tax return. Ensures that the team is set-up with appropriate programs/systems/printers, updates associated profiles as needed. Other duties as assigned to create process efficiencies within the office.
Skills
- Proven experience as an Officer Manager or related role
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Familiarity with office management procedures
- Excellent knowledge of MS Office and office management software (ERP etc.)
- Knowledge of QuickBooks is preferred but not required
- High school diploma; BS/BA in office administration, accounting, or other relevant field is preferred
