We are looking for an Office Manager & Bookkeeper with expertise in accounting and customer service to join our team. This full-time, in-office position plays a key role in maintaining strong financial systems, supporting day-to-day operations, and ensuring the smooth running of the business.
As an active participant in the management team, the Office Manager will contribute to discussions on budgets, employee matters, and operational efficiencies. This is an exciting opportunity for a detail-oriented and self-motivated professional who thrives in a fast-paced environment and enjoys a mix of administrative and financial responsibilities.
Key Responsibilities:
- Accounting: Daily accounting tasks, duties will include processing invoices, managing accounts payable/receivable, financial reporting reconciling bank, credit card, third-party merchant accounts and more.
- Customer Service: Serve as the first point of contact for incoming calls, route inquiries, and provide accurate responses to client questions using the tools and resources available.
- Maintenance Coordination: Responsible for scheduling maintenance, managing vendor relationships, and overseeing billing processes.
- Vendor & Client Relations: Manage relationships with vendors and customers to ensure smooth operations and excellent service delivery.
Qualifications:
- Strong background in accounting (experience with invoicing, financial records, etc.).
- Experience in customer service, with excellent communication and problem-solving skills.
- Ability to multitask and handle various responsibilities simultaneously.
- Familiarity with accounting software and basic office applications (e.g., Microsoft Office Suite, Property Management software, etc.).
- Detail-oriented and well-organized with strong time-management skills.
Skills & Attributes:
- Exceptional oral and written communication skills.
- Strong organizational and multitasking abilities in both independent and team environments.
- Positive and flexible attitude with keen problem-solving skills.
- Proficiency in Microsoft Office Suite, Quickbooks and knowledge of Buildium a plus
- Ability to follow up on multiple projects and manage competing priorities.
- Confidence, self-motivation, and a proactive approach to responsibilities.
