Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to support our construction team with day-to-day administrative tasks. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to multitask in a fast-paced environment. This role is essential in ensuring efficient office operations, assisting project teams, and maintaining accurate records.
Key Responsibilities include:
- Provide administrative support to project managers, preconstruction and office staff.
- Maintain and organize company records, including contracts, permits, and invoices.
- Schedule meetings, appointments, and site visits for project teams.
- Manage office supplies and equipment, ensuring adequate inventory levels.
- Support safety compliance by tracking certifications and assisting with training schedules.
- Perform data entry and maintain project management software and spreadsheets.
- Assist in creating reports, presentations, and other business documents as needed.
- Provide general office support, including filing, copying, and scanning.
Education & Additional Qualifications
- 2 years of administrative experience (construction industry preferred).
- High school diploma or equivalent required; Associate’s degree preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and construction management software (Procore, Sage, or similar).
- Strong verbal and written communication skills.
- Excellent time management and ability to prioritize tasks.
- Ability to work independently and handle unexpected challenges.
- Strong ability to collaborate with various departments and external stakeholders.
- High level of accuracy in data entry and document management.
