We seek for our office in New York a highly motivated personality as
VIP Relations Assistant
- Provide administrative support to Global Head of VIP Relations on various projects throughout the year, including but not limited to scheduling global team meetings, taking meeting notes, assisting with client inquiries, and more.
- Work within the global VIP team to always maintain and update the company's database with current and correct client information including processing VIP designations, coordinating last minute VIP credentials and mailing from the New York office, and more.
- Responsible for regional VIP cultivation reports and maintaining an up-to-date master contact list for Global Head of VIP Relations
- Manage aspects of VIP inquiries coming in from the general VIP inbox and website for all four Art Basel shows (Hong Kong, Basel, Miami Beach, Paris ), as well as handling phone calls; forward inquiries to appropriate contacts within the team
- Conduct VIP accreditation when handling new VIP inquiries by contacting participating galleries and/or museums, if necessary.
- Conduct research on important individual and institution prospects as part of VIP audience development efforts.
- Work closely with Americas VIP team on preparation of Art Basel in Miami Beach show such as correspondences with VIP representatives, compiling necessary information, organizing meetings, taking meeting notes, and more; provide support in regional VIP representative management in general
- Handle regional events in the Americas wherever necessary such as assisting with venue selection, sending out invitation, following-up, handling guest list/RSVPs in general.
- Work collaboratively as a strong team player within the international VIP Relations team, and as part of the larger global Art Basel team.
- Additional administrative duties upon assignment.
- Bachelor's degree required, master's degree a plus. Degrees in arts administration, arts education, art history, or museum studies preferred.
- Two to three years of work experience, preferably with a visual art cultural institution, required.
- Excellent writing skills; attention to detail; superb organizational skills; and ability to prioritize, multitask, and meet deadlines.
- Outstanding communication skills with ability to handle high-level client service at all times.
- Familiarity with the art industry.
- Demonstrated ability to manage multiple projects, set goals, and develop strategies and streamline procedures to meet objectives.
- Ability to work collaboratively with an open-minded attitude in order to establish close relationships with external and internal contacts worldwide.
- Proficient with Microsoft Word, Excel, PowerPoint, and strong preference toward experienced client database and/or software users
- Active work permit for the US is required for this position
