SALES OPERATIONS COORDINATOR

McLane Hunger Solutions is seeking a Sales Operations Coordinator to support our MHS sales Team and enhance operational efficiency. This role involves managing bids, coordinating systems and processes, and collaborating with internal and external stakeholders to drive growth in feeding solutions. The Sales Operations Coordinator will play a critical role in ensuring smooth workflows, maintaining USDA compliance, and supporting McLane Hunger Solutions’ mission to reduce food insecurity. 

 

KEY RESPONSIBILITIES 

  • Bid Management: Coordinate the preparation, review, and timely submission of bid proposals, ensuring compliance with requirements and maintaining a bid calendar to track deadlines. 

  • Sales Team Support: Assist Sales Managers and Director by preparing proposals, maintaining CRM updates, processing orders, and providing accurate sales performance reports. 

  • Systems Coordination: Manage and update sales tools, including CRM systems, to ensure data accuracy and consistency. Monitor inventory levels and maintain an up-to-date list of USDA-eligible items to support accurate menu planning and compliance. 

  • Menu Creation, Organization, and Standardization: Develop, organize, and standardize menu options to ensure alignment with customer needs, compliance with program requirements, and ease of implementation across projects. 

  • Production Coordination: Collaborate with sales, procurement, logistics, and production teams to ensure accurate forecasting, efficient resource allocation, and smooth execution of projects. 

  • Internal Department Accounting: Process invoices and manage drop shipments in a timely and accurate manner, ensuring all transactions are recorded properly and align with internal accounting practices. 

  • MHS Portal and Parcel Tracking System Management: Monitor and execute sales transactions from the MHS portal, ensuring orders are processed accurately and efficiently. Manage the parcel tracking system to oversee order fulfillment and delivery, promptly addressing any discrepancies or delays. 

  • Process Improvement: Identify and implement enhancements to sales, production, and bid workflows, improving overall efficiency and operational effectiveness. 

  • Market Research and Insights: Stay informed on industry trends, customer needs, and competitor activities to provide strategic input during bid development and sales strategy planning. 

 

POSITION REQUIREMENTS 

  • Education: A bachelor’s degree in business or a related field is preferred, but relevant experience, training, or demonstrated ability in a related field will also be considered. 

  • Experience: 1–3 years in sales support, business development, or operational roles preferred. Candidates with strong organizational skills and a willingness to learn federal programs like SFSP or CACFP are encouraged to apply. 

  • Strong project management skills with the ability to manage multiple priorities. 

  • Excellent verbal and written communication skills to engage diverse stakeholders. 

  • Analytical skills for problem-solving, cost analysis, and process improvement. 

  • Proficiency in Excel and related tools for tracking and reporting. 

  • A collaborative, team-oriented approach with a focus on cross-functional coordination. 

  • Adaptability to learn and lead through change while making data-driven decisions. 

  • Attention to detail in managing inventories, USDA compliance, and workflow optimization.

WORKING CONDITIONS 

  • Keyboarding - (Up to 8 hours per day) Entering text or data into a computer by means of a keyboard. Devices include a traditional keyboard, 10 keypads, touch screen and other.   

  • Sitting/Standing - (Up to 8 hours per day) The ability to alternate between sitting and standing at a desk is present when a worker has the flexibility to choose between sitting or standing as needed when this need cannot be accommodated by scheduled breaks and/or lunch period.   

  • Communication Verbally - (Up to 8 hours per day) Expressing or exchanging ideas by means of the spoken word to impart oral information to clients or the public and to convey detailed spoken instructions to other workers accurately, loudly, or quickly.
