POSITION: FRONT DESK CONCIERGE
JOB SUMMARY: This position interfaces with the physician, practice manager, and all other staff members. This position has initial contact with prospective patients, consults, appointment patients, other physicians, business contacts, insurance companies and vendors, therefore requires a neat and professional appearance and a pleasant speaking voice and demeanor. This position’s primary responsibility is to take charge of all front-office operations and includes the scheduling of patients, control of patient flow, organization and maintenance of the front deck/reception area. Responsible for performing all duties in accordance with established Practice policies and procedures.
RESPONSIBILITIES include, but are not limited to, the following:
• "Opens" the office each day by ensuring the reception area is clean and tidy.
• Answers the telephone pleasantly, and by the third ring as often as possible.
• Appropriately discusses cosmetic consultations, cosmetic procedures and skin care services with prospective patients over the phone; encourages them to schedule an appointment or transfers them to the Patient Coordinator.
• Schedule patient appointments, explains to new patients what they need to bring, and provides information about the consultation fee.
• Encourages new patients to visit the practice Web site to learn more about the surgeon and the services she provides. Explain to new patients how to pre-register on-line.
• Email new patient letters and packets, pre-registers patients.
• Email Appointment Reminders; Ensure all patient appointments are confirmed.
• Greets patients in a friendly and professional manner as they arrive for scheduled appointments.
• Post daily charges and payments.
• Maintains patient confidentiality by following the HIPAA Compliance Plan established by the practice; releases PHI in accordance with the practice's HIPAA Compliance Plan.
• Performs all other tasks and projects assigned by the surgeon or manager to ensure the smooth operation of the Practice.

Hours:
Patient office hours are from 9:00 to 5:00, Monday through Friday.
Education and Experience Requirements
This position requires completion of high school or equivalent and experience in a hospitality, retail, medical office, or other customer service position is preferred. The ability to communicate, supervise and organize efficiently is a must for this position. You must possess a high level of competence, patience, integrity, confidentiality and congeniality. This position calls for self-direction and motivation and the ability to handle stress in a medical environment.
Computer literacy, familiar with computer Word processing software. Ability to type accurately and proficiently.
Comfortable using e-mail and interacting with Internet applications. Ability to communicate information accurately. Ability to perform multiple and diverse tasks simultaneously.
