Job Title: Lead Elementary Secretary

Salary Range: $19.26 - $23.41

Reports to: Principal or designee

Please note that this position is 222 days (11 months) with 6 paid holidays, paid sick leave and paid flexible personal leave (3 days per year). If hired after the start of the school year, days and leave are pro-rated. Job Summary:

To provide office management to the elementary school main office.

Essential Job Functions:

  • Performs office management and designated support services by assisting the school administrator with a variety of secretarial and organizational responsibilities.
  • Coordinates and trains student assistants, parent volunteers, and substitutes.
  • Maintains payroll/leave information and numerous other office records.
  • Assures positive and efficient services are provided to students, staff, and community by providing directions and building tours, dispensing of medication, providing first aid, coordinating building use by non-school groups, diffusing potentially volatile situations, and responding to requests for information.
  • Initiates and answers telephone calls which include interviewing callers, furnishing desired information or referring callers to proper authority.
  • Writes letters and memoranda from rough draft, notes and oral instructions.
  • Composes correspondence independently on routine matters.
  • Collects data from office records for use by the principal.
  • Orders, receives, distributes and inventories school supplies.
  • Serves as information liaison for the principal, school staff members, district office personnel, parents, students and the general public.
  • Independently answers inquiries and supplies information on a wide range of technical and program matters for administrators, teachers, staff and the public.
  • Types a variety of reports, records, and other materials including the School Improvement Plan.
  • Handles online substitute system and leave for all staff.
  • Schedules appointments and handles mail for the principal.
  • Works with requisitions, school budget and processes work orders.
  • Provides copy machine training.
  • Updates student and staff handbooks.
  • Assists with student registration.
  • Coordinates the processing of school mailings.
  • Provides assistance with meetings by reserving meeting sites, arranging for refreshments, preparing the agenda and notifying the appropriate people.
  • Handles first aid and assists with building evacuations.
  • Works with student teachers.
  • Processes staff evaluations for principal and other personnel paperwork.
  • Maintains the financial accounts for student body funds.
  • Responsible for being familiar with the school/district policies and procedures which govern the work.
  • Prompt and regular attendance is required.

Other Job Functions:

  • Performs other tasks as assigned.
  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
  • Participates in various meetings and professional development activities for the purpose of sharing information and/or improving one's skills/knowledge.

  • Carries out work responsibilities effectively under pressure of deadlines, interruptions, and new or emergency situations.
  • Ability to work with a diverse population.
  • Ability to respect confidential information.
  • Computer skills to include use of word processing programs, database programs and the Google Suite of products.

Physical Demands:

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to walk; sit; and use hands for fine manipulation, handle or feel and reach with hands and arms. The employee is occasionally required to stand and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and peripheral vision.

Work Environment:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The employee may be exposed to bloodborne pathogens. The noise level in the work environment varies but is usually moderate.

Terms of Employment: Performance of this position will be evaluated annually in accordance with Board policy on evaluation of classified staff.
