We have an opportunity for an Administrative Assistant to join our team. This position will play an essential role in our Facilities Department supporting associates at our 19 branch locations with data entry, orders, vendor management, and projects.
We have an opportunity for an Administrative Assistant to join our team. This position will play an essential role in our Facilities Department supporting associates at our 19 branch locations with data entry, orders, vendor management, and projects.
This position is located at our corporate office overlooking the waters of Tampa Bay.
Responsibilities:
Responsibilities:
- Managing day-to-day office administrative functions and general support for the Facilities Department including emails, records management, mail, correspondence, phones, expenses, and invoices
- Coordinate and maintain work orders on the facilities management system for repairs and maintenance for all locations
- Arrange meetings with external and internal customers
- Coordinating domestic travel arrangements including flight, hotel and car rentals
- Maintaining department records and reports using various software programs including SharePoint
- Coordinating and tracking departmental projects
- Preparing and distributing meeting information including agenda, recording minutes and updating project plans
- Incorporate best practices into job duties
- Performing internet research
Qualifications:
- 3-5 years of strong administrative experience in a high volume environment
- Advanced computer proficiency including Microsoft Office (Word/Excel/PowerPoint/Outlook/SharePoint)
- Excellent communication and organizational skills
- Ability to multi-task and work within deadlines
- Excellent typing and proofreading skills
- Experience coordinating projects and following-up to achieve results
- Ability to work independently and as a productive part of the team
- Understanding of building and/or maintenance preferred
