As we continue to grow, we are seeking a highly organized, tech-savvy, and patient-focused, Office Coordinator/Receptionist to join our team at a McPhee Physical Therapy clinic. As the first point of contact for patients, this role is essential in providing a welcoming and supportive environment while managing front desk operations, scheduling, insurance verifications, and administrative tasks. Additionally, this position requires someone who is comfortable with modern technology and software solutions to help transition our clinic from various traditional processes to more efficient, tech-driven systems.
Key Responsibilities:
- Provide exceptional patient service by greeting and assisting patients in a warm, professional manner.
- Manage patient check-ins and check-outs, ensuring all necessary paperwork is completed accurately and efficiently.
- Schedule and coordinate patient appointments, optimizing provider schedules for maximum efficiency.
- Verify insurance benefits and obtain necessary authorizations for physical therapy services.
- Process payments and co-pays, accurately handling patient billing inquiries and financial transactions.
- Answer and direct phone calls with professionalism, providing accurate information and assisting with patient inquiries.
- Maintain electronic medical records (EMR) by registering new patients, updating records, and ensuring accuracy in documentation.
- Coordinate referrals and ensure timely communication with referring providers and insurance companies.
- Assist with administrative tasks such as preparing patient charts, scanning documents, and organizing office supplies.
- Help implement and transition to new scheduling, billing, and EMR software, ensuring a smooth adaptation for staff and patients.
- Comfortably navigate and troubleshoot modern tech platforms such as EMR systems, scheduling apps, payment processing software, and online communication tools.
- Ensure compliance with HIPAA regulations and maintain strict patient confidentiality.
- Support clinic operations, including opening/closing procedures and additional tasks as assigned.
Qualifications:
- High school diploma or equivalent required; additional medical office training or certification is a plus.
- Experience in a medical front office, physical therapy, or healthcare setting preferred.
- Strong knowledge of insurance verification, authorizations, and medical billing is highly desirable.
- Proficiency in Microsoft Office, EMR systems, and ability to quickly learn new software and applications.
- Comfortable using and helping implement modern scheduling, billing, and communication technologies.
- Excellent customer service and communication skills, with the ability to multitask and stay organized.
- Team-oriented with a positive attitude and ability to adapt to a fast-paced environment.
