Job Description : RHC Administrative Assistant
Job Summary : Organizes and coordinates administrative services for the Chief of Provider and Clinic Operations (CPCO).
Essential Job Accountabilities :
Has responsibility for executing administrative / secretarial duties at a high level which requires discretion, judgment and independent initiative.Communicates with the Administrative Staff, Department Directors, consultants and others to prepare / disseminate information and coordinate details of meetings, activities and functions, etc.Exhibits a high degree of dependability and anticipates executives’ needs and demonstrates flexibility in fulfilling the requirements of the position. Anticipates potential problems and demonstrates resourcefulness in creative resolutions.Performs administrative support functions for Administration and Department Directors, which includes answering telephone; distributing mail; copying correspondence; preparing documents and presentations; coordinating and scheduling meetings and appointments; inventory and ordering of office supplies; ordering catering; and maintaining calendar and schedules.Interfaces and coordinates with the CPCO in preparing for meetings and attending meetings as requested. Prepares RHC “weekly what’s up”, creating CPCO meeting agendas, takes meeting minutes, and distributes to staff / filing into appropriate Microsoft Teams folders.Utilizes good guest relations and leadership skills to assist all components of the organization in person, by e-mail or by phone in a courteous, timely and efficient manner.Coordinates support for locum tenens and physician recruits.Maintains HealthStream licenses and certifications and Rural Health Clinic (RHC) electronic evidence binder to include collaborative agreements, re-appointments, licensing, certification, and competencies. Communicate with department directors to ensure compliance and upcoming lapses.Tracks and enters RHC productivity as designated for providers within the RHC.Maintains clinic teams’ application with up-to-date forms and preparation and filings of patient dismissal communications after CPCO approval.Maintains RHC service recovery certificates, reporting to the hospital administrative assistant monthly.Assists CPCO with preparing invoices / mileage reimbursements / check requests / credit card statement.Updates patient point exam room screens as needed in addition to RHC lobby screens ensuring accurate services lines and communications are displayed.Performs monthly rounding checks in the RHC and relays any repairs, supplies, or equipment that may need replaced.Facilitate Daily Huddle and send out daily recap.Other tasks as assigned.Other Job Accountabilities :
Serves as notary public for hospital patients and employees.QUALIFICATIONS : Education :
Minimum : High school diploma or equivalent (GED).
Preferred : Associate degree or equivalent formal training program.
Experience : Three to five years of administrative assistant level experience preferred.
Skills :
Ability to work with senior management with strong interpersonal and project management skills. Collaborative style demonstrates ability to work with external contacts and employees.Ability to take responsibility for completion of tasks with little direction.Excellent ability to focus on details, skills related to editing documents, proofreading written copy, setting up meetings, etc.High proficiency in MS Office products : Word, Excel, Publisher, PowerPoint, and Outlook.Excellent phone, communication, and organizational skills.Licensure / Certification : None
