Fast-paced medical office looking for full-time receptionist. Responsibilities include greeting patients, answering phones, verifying insurance, handling payments, patient documents, referrals and scheduling appointments.

The right fit must be professional, efficient, accurate, organized, enthusiastic, customer service oriented and comfortable multi-tasking; answering phones, using computers and other office equipment.

The successful candidate must have:

  • minimum of high school diploma or equivalent
  • experience as a receptionist, medical office preferred
  • some knowledge of medical insurances preferred
  • strong interpersonal skills
  • strong verbal and written communication skills
  • professional and well-mannered phone presence
  • positive attitude
  • proven experience handling upset people
  • understanding of HIPAA regulations

The work environment is fast-paced. Wages are negotiable, depending on experience/ability.

Responsibilities include, but are not limited to, the following:

Check-In and Registration

  • "Opens" the office each day, according to protocol (see procedure manual).
  • Cheerfully greets all incoming patients, receives all new patient paperwork, insurance cards and ID cards. Verify all (new and established) patient registration and insurance information for accuracy in computer, scan cards onto patient file, and efficiently assemble all copies of cards and new patient forms into patient chart.
  • Checks in patients on practice management system and enables them for Meaningful Use.
  • Explains financial and collection policies to new patients—provides written guidelines to each patient. Maintains detailed knowledge of practice management software and assists with insurance verifications.
  • Informs new patients about the practice’s website and encourages them to complete the forms found online (registration, HIPPA, practice information H&P forms).
  • Informs patients in the waiting area when the physicians are running behind—offers to reschedule them. Monitors patients in the waiting area to ensure that they have been checked in and not overlooked.
  • Collects payments from patients at the time of their visit. Requests payment in addition to the day’s services from patients with outstanding account balances—provides patients with a receipt and records payments on daily Excel spreadsheets. Maintains solid knowledge about all managed care plans with regard to patient insurance coverage rules.
  • Assist walk-up counter patients, screens visitors and deliveries.
  • Acts as back up for other reception staff, as needed.

Telephone Answering and Scheduling

  • Answers the telephone pleasantly, and by the third ring as often as possible; routes call or takes message
  • Schedules patient appointments: explains to patient which pieces of information they are to bring, informs of potential charges for the visit and the patient’s financial obligation, provides patients several scheduling options, follows physician-approved scheduling guidelines

Handling Referrals

  • Checks Dropbox for referrals and calls patients to get them scheduled in a timely manner
  • Reviews appointment schedule one week ahead of time to determine which patients need referral authorizations for upcoming visits.
  • Calls patients if their current authorizations have expired and advises patients to contact their PCP to obtain a current authorization.
  • Obtains referral authorizations and enters pre-certification information into the Practice Management System and then scans referrals into the patient’s chart.
  • Completes referral letters for both Dermatology and Mohs patients.
  • Enters and scans new patient profile information into the Practice Management System.

Other

  • Screens visitors and responds to routine requests for information
  • Ensures all faxes are cleared off the machine and distributed throughout the day
  • Sorts incoming reports and directs to appropriate physician
  • Keeps the patient reception area neat and clean at all times throughout the day
  • Reschedule patients’ appointments as needed
  • Document actions within the system
  • Set up Alerts & Flags for cancelled or missed appointments that need reminder calls to re-schedule
  • Facilitates any physician requests throughout the day
  • Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice
  • Maintains detailed knowledge of practice management and other computer software as it relates to job functions
  • Attends all regular staff meetings
  • Performs all other tasks and projects assigned by the Office Manager
