Job Description:
Meade Engineering is seeking a highly organized, proactive, and resourceful Executive Assistant to provide high-level support to our CEO. This position requires flexibility, discretion, and the ability to handle a dynamic workload, including urgent requests and after-hours availability as needed. The ideal candidate has strong coordination skills, excellent judgment, and the ability to anticipate and address executive needs effectively.
This is an on-call position with varying hours based on business demands, including occasional evenings and weekends.
Job Duties:
- Provide flexible, on-demand administrative support to the CEO, ensuring seamless executive operations.
- Manage complex scheduling, including coordinating meetings, appointments, and correspondence.
- Serve as a liaison between the CEO and internal/external stakeholders, ensuring effective communication and follow-ups.
- Coordinate and oversee executive-level meetings, including agenda preparation, note-taking, and follow-up on action items.
- Conduct research, compile reports, and assist in preparing presentations.
- Handle confidential information with discretion and professionalism.
- Manage office and personal tasks, including expense reporting, document organization, and special projects.
- Assist with office operations and ensure coordination between departments for executive-related activities.
- Collaborate with Office Coordinator to oversee office organization, including ensuring meeting spaces and workspaces are well-prepared for executive use.
Minimum Qualifications:
- 5 years of experience as an Executive Assistant or in a similar high-level support role.
- Proven ability to work in a fast-paced, on-call capacity with flexible availability.
- Exceptional organizational, multitasking, and problem-solving skills.
- Strong written and verbal communication abilities.
- High level of discretion, professionalism, and confidentiality.
- Proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools.
- Experience handling executive correspondence, preparing reports, and managing calendars.
- Ability to anticipate needs, think strategically, and proactively solve problems.
- Experience in an engineering, construction, or consulting firm is a plus.
