The Human Resources Coordinator provides administrative support for the Human Resources Department. Act as a primary point of contact for employee HR and payroll inquiries.
ESSENTIAL DUTIES AND RESPONSIBILITIES
ADMINISTRATIVE DUTIES
- Complete new employee onboarding process, including collecting necessary paperwork and explaining company policies.
- Conduct regular audits
- Maintain accurate employee data including personal information, employment details, benefits selections, and tax withholding information.
- Prepare and file EEO-1 reporting, annually
- Maintain compliance posters and pamphlet supplies
- Translate documents & training materials
- Mail – post office and inter-office mail
- Complete employment verifications
- EDD correspondence
- Maintain Meadowood Phone Directory (monthly)
- Maintain orderliness of the HR office and ensure office supplies are intact
PAYROLL
- Process payroll deductions such as taxes, health insurance premiums, retirement contributions, and other required deductions (bi-weekly)
- Accurately calculate employee pay based on time and attendance records, including overtime, commissions, and bonuses.
- Work closely with managers to balance commission & gratuities
- Process termination checks in a timely manner
- Prepare reports after each payroll for accounting allocations
- End vacation and sick accruals
- End of month medical billing allocations
BENEFITS
- Enter information in ADP regarding ACA measurement period
- Coordinate Benefit Open Enrollment with HR Manager
- Work w/HR Manager; Benefit census, 401K census
- Assist with benefit orientations for Spanish speakers
RECRUITING
- Conduct on-boarding for all new staff members (includes new hire paperwork and overview of Meadowood Culture and Services Standards)
- Place job postings and ads for open positions as requested by HR managers
- Coordinate interview schedules
- Conduct background checks
- Coordinate pre-employment physicals for potential candidates
EMPLOYEE RELATIONS
- Coordinate and prepare for staff meetings and events
- Ensure Cafeteria bulletin board is up to date with current events
- Coordinate Birthday and Anniversary Cards (on-going)
- Provide translation services
- Follow up with outstanding reviews

Education and/or experience: 2 years of administrative support, preferably in HR (or equivalent experience)
Language skills: Fluent in English and Spanish, both verbal and in writing.
Mathematical skills: Basic math, analysis skills
Computer skills: Strong computer skills, Microsoft programs experience. Payroll and HRS preferred.
Reasoning ability: Capacity to analyze situations critically, apply logic, and make informed decisions by evaluating information and considering various factors.
