What are the responsibilities and job description for the Warranty Administrator/Claims Processor position at Mechanical Concepts LLC?
- Accurately review, process, and submit warranty claims to manufacturer in compliance with their guidelines and policies
- Track the progress of warranty claims and follow up with manufacturer to resolve any outstanding issues or delays
- Maintain detailed records of all warranty work, including parts, labor, and claim status, ensuring accurate documentation for audit purposes
- Verify warranty coverage for customers and provide clear explanations of the terms and conditions of their warranties
- Work closely with all departments to coordinate warranty repairs, ensuring a smooth and timely process for customers
- Track and order warranty parts as needed, ensuring timely availability to avoid service delays
- Stay current with manufacturer bulletins, warranty policies, and procedures to ensure claims are filed correctly
- Assist the service, parts and new equipment sales departments with any warranty-related questions or issues
- Communicate effectively with customers, technicians, and manufacturer to ensure a seamless warranty process
- Process freight claims for damaged shipments
- Process contractor claims for damaged/non-working products
- Other duties as related to warranty/claims
Qualifications:
- Strong Excel and other Microsoft office knowledge
- Excellent organizational and time management skills, with the ability to manage multiple tasks in a fast-paced environment
- Prior experience in an service or warranty administration role preferred
- Strong knowledge of HVAC parts, repairs, and warranty procedures preferred
- Attention to detail with a focus on accuracy in processing claims and maintaining records
- Strong communication skills, both written and verbal, with a customer-focused attitude
- Ability to collaborate with various departments to ensure efficient warranty claim processing
