What are the responsibilities and job description for the Accounts Receivable Manager position at Mechanical Contractors?
Mechanical Contractor located in Rosedale MD is looking for a full-time Accounts Receivable Specialist with at least 3 years of accounting experience and the following skill-sets:
- Effectively communicate (verbal and written) in the HVAC/plumbing business in a professional manner to all customers and office personnel.
- Set up new projects, i.e. enter budgets, enter schedule of values and gather customer information.
- Update project budgets per project manager’s request.
- Enter approved and/or pending change orders and validate customer’s contract amount with our accounting program.
- Process monthly job billing packets, i.e. gather required job cost reports, schedule of values and route to appropriate project manager.
- Generate monthly AIA billings in addition to Time & Material invoices.
- Complete necessary release of liens pertaining to projects and submit electronically with customer invoices via email. If necessary, mail invoices per customer’s request or submit via website portal.
- Review accounts receivable aging on a daily basis to collect on outstanding invoices. Conduct outbound collection calls in a professional manner, and ensure every interaction with customers/clients leaves a positive impression.
- Update invoice status records and collection efforts in our system to ensure conversations, agreements, and action plans are documented.
- Identify issues contributing to account delinquency and collaborate with project managers and senior management when necessary to accelerate the collection process.
- Accurately record cash receipts daily and deposit checks via digital scanner.

- Computer skills ranging from experience with Microsoft Office: Word, Excel, Outlook and Adobe Acrobat. Foundation experience is a plus.
