The Service Dispatcher acts as a vital link between customers and service technicians, ensuring seamless communication, efficient scheduling, and exceptional customer service. The Service Dispatcher also offers critical office support to service and maintenance technicians by coordinating daily appointments and ensuring efficient workflow. Key Responsibilities:
- Serve as the first point of contact by answering incoming phone calls with professionalism.
- Schedule service appointments and communicate effectively with customers regarding their needs.
- Identify and assess customer requirements to ensure optimal satisfaction.
- Compose and distribute professional correspondence, including emails, memos, letters, and forms.
- Maintain organized and accurate records of customer interactions, process accounts, and file essential documents.
- Adhere to established communication procedures, guidelines, and company policies.
- Assign and route service and maintenance appointments to appropriate technicians.
- Follow up on service estimates initiated by technicians to ensure timely resolution.
- Confirm accurate assignment of jobs to technicians based on expertise and service area.
- Process service invoices with precision and verify their accuracy.
- Manage warranty parts related to service calls.
- Handle rebates associated with maintenance appointments.
- Oversee the scheduling and coordination of residential and maintenance customer appointments.
