Office Manager

This could be a full time role at 30 hours or a full time role at 40 hours. Pay will be dependent upon experience and amount of hours worked each week.

Primary Purpose

To work in a clerical position within the company managing phone calls, paperwork, and clientele. Construction office managers support the business at large and strive to help workplace communication and efficiency by also assisting project managers with their projects.

Reports To: Vice President

Typical Duties

  • Answer telephones
  • Take messages
  • Sort mail and faxes
  • Filing/Coping/Scanning
  • Order office supplies
  • Create and maintain project manuals
  • Work with all offices to keep client, vendor and subcontractor information up to date
  • Help process new hires by entering into Viewpoint Vista, drug screening, personal protective equipment, and employment forms
  • Update time and attendance through ExakTime payroll software for all employees
  • Maintain files for company credit and gas cards
  • Download all plans, specs, and addenda for all bidding projects.
  • Update website with plans and specs for weekly projects bidding.
  • Complete job setup in Viewpoint Vista and buyout project to include purchase orders, subcontracts, and change orders. These documents will be maintained by PM throughout duration of project
  • Assist project manager with monitoring the progress of the construction activities on a regular basis and hold regular status meetings with all the sub-team

Information Technology

  • Maintain telephone, computer, and management information systems and other office equipment in good working order
  • Ensure daily that all office equipment is stocked with paper and toner
  • Periodically review and evaluate appropriateness, reliability, and effectiveness of telephone, computer, and management information systems and other office equipment to ensure effective communication with members and among staff
  • Facilitate any necessary staff training on telephone, computer, and management information systems and other office equipment

Requirements

  • The minimum education requirement is a high school diploma or the equivalent
  • Have excellent interpersonal communication skills, both written and verbal
  • Strong Organizational and problem-solving skills
  • Good at prioritizing tasks to make sure that multiple deadlines are met
  • Knowledge of current office practices and software, specifically Microsoft Word and Excel, ExakTime, and Viewpoint Vista

  • Pay: $45,000-$60,000 based upon experience and hours worked
