Summary:
The Bay Area News Group is seeking an Office Manager to join the team! The Office Manager position supports department management by executing daily comprehensive administrative and general clerical activities. This position also serves as our community projects leader for the nonprofit arm of the newspaper – Wishbook and Share the Spirit – which raises money for local nonprofits during the winter holiday season.
This is a fully onsite position based in our San Jose office.
What you will do:
- Oversee Wishbook and Share the Spirit community programs including leading committee meetings, managing donor database and communications, working with contracted finance company for donation collection, compliance reporting, engaging with grant applicant and donors, working with company web designer to ensure sites are up-to-date and user friendly
- Nonprofit duties vary from 5 hours per week during the off-season to 25 hours per week during the busy season
- Office duties which include but are not limited to: handling daily administrative tasks, managing incoming and outgoing mail and shipments, and monitoring and responding to phone calls and customer emails
- Inventory management of office supplies and other miscellaneous gear
- Oversee and manage relationships with external vendors; serve as the point of contact between company and property management and other third-party companies
- Manage and process employee expense reimbursement requests and monthly invoices from external vendors and freelancers to ensure accurate and timely payment
- Arrange candidate interviews with staff during political campaigns
What you will bring:
- 3 years previous office management experience, including database management experience
- Previous non-profit management experience preferred
- Ability to work with staff at all levels, third-party vendors, and the general public in a professional and customer-focused manner
- Possess strong planning and organization skills to prioritize workload and manage confidential and sensitive information
- Self-motivated individual with the ability to work independently with minimal supervision, and multi-task while remaining flexible and adaptable
- Strategic thinker possessing excellent written and verbal communication and problem-solving skills
- Proficient in Google Suite, Microsoft Word, Excel, and PowerPoint
- Must have a valid driver's license and reliable transportation
Benefits and Compensation:
The hourly wage range is $28.00 - $33.50 ($54,600 - $65,325). Pay is based on several factors including but not limited to education, work experience, time in role, certifications, etc. In addition to your salary, the Company offers eligible employees a variety of benefits including medical, dental, life and disability insurance, 401k, as well as paid time off and select paid holidays (all benefits are based on eligibility).
