Position SummaryDeerfield Group is seeking an experienced Project Manager (PM) who will oversee the planning, implementation, and tracking of communications projects for our clients, primarily in the biotech, pharma, and consumer science spaces. This role requires a strong balance of client interaction, team collaboration, critical thinking and project management skills, ensuring all work is strategically aligned, completed on time and within budget, thoughtfully executed, and adheres to Deerfield standards.
This role will be based in our office in Conshohocken, PA.
Key ResponsibilitiesClient InteractionDrive tactical execution of key client projects / programsDevelop project plans, manage timelines, track finances, coordinate resources and drive efficiencies across the agencyPartner with Account team to understand client project goals and requirementsDevelop and leverage in-depth understanding of all communications activities and workflows to work in seamless partnership with client service teamsPartner with external vendors, internal teams to ensure efficiency and execution of key strategic plansContribute to client proposals and quotes with oversight from managementFollow Deerfield procedures for client budgets, budget tracking, contract approval, purchase orders, billing rates and allocate resources.Ensure coordination with the finance team to book revenues for projects, close invoices, raise POs for vendors / partners, etc. Ensure all activities carried out for clients are properly documented and budget and status reports are submitted.Ensure the work is on budget, on time, and meets quality standardsTechnical ExpertiseTraffic work in a timely manner throughout the life cycle of a projectManage systems / tools that contribute to project / program success (Adobe Work Front, Gitlab, and other project management platforms)Schedule and support project kickoff meetings, along with frequent check-insMonitor project progress and identify areas for efficiencies or where other solutions may be neededFollow Deerfield best practices as it relates to documentation storage, movement, and namingEstablish and manage project scopeReview and consolidate feedback / comments within PDFs, and track overall processCommunicationBuild strong working relationships with all team membersStreamline communication between internal team membersWork effectively and efficiently with internal and external stakeholdersClearly articulate project status, milestones, and key decisions effectively to ensure alignment and transparency, and escalate potential risks in a timely mannerDeliver final project summary to the client, as neededCritical ThinkingAnticipate timeline challenges and implement corrective actions as neededEnsure compliance with legal requirements and industry standards throughout the project lifecycleCollaborationDrive consistent collaboration with shared resources during the life cycle of the projectContribute to cross-functional discussions with informed POVFoster a collaborative and inclusive team environment, encouraging open communication and knowledge sharingTake ownership and accountability of project progress and success as a dedicated member of the teamTeam LeadershipAssist in providing ongoing support and mentoring entry level project coordinatorsLead trainings for clients services team on best practices, new processes
QualificationsBachelor’s degree4-5 years of project management experience in a communications agency setting, ideally in healthcare or life sciencesKnowledge of communications workflowsProficiency in project management software (Adobe Work Front and GitLab a plus)Strong organizational and multitasking skills with attention to detailStrong scheduling and time management experienceExcellent communication, negotiation, and problem-solving abilitiesPositive, curious, and solutions-oriented mindset
