Broadcast & Media Services Coordinator

Summary of role
The Broadcast & Media Services department is seeking a Coordinator to contribute to operational excellence and provide support in administrative functions. The ideal candidate will play a crucial role in supporting various administrative tasks, ensuring smooth operations and effective communication within the organization. They are extremely organized with keen attention to detail, proactive, resourceful with excellent time management skills and a commitment to providing exceptional support to internal and external clients.
Responsibilities
- Provide administrative support to the Broadcast & Media Services Department including data entry and maintaining organized records
- Perform administrative tasks and handle other assignments at the direction of the department leadership
- Responsible for creating purchase orders (POs) and ensuring that all required information is complete, accurate and completed according to pre-determined timeline
- Ensure the seamless processing of purchase orders from beginning until the payment process is completed
- Utilize various applications, tools and software, including SAP, to manage financial records and assist with budgeting and the purchase order and payment process
- Assist with the preparation of presentations, metric reports, dashboards, and other business reports
- Perform general duties, including general correspondence, word processing, filing, scanning, copying, preparing and reconciling expense reports, ordering office supplies and managing all subscriptions
- Effectively interface with all levels of employees, customers and internal and external constituents, managing inquiries with professionalism, demonstrating excellent phone etiquette and communication skills
- Assist with communications to internal and external clients, vendors and suppliers
- Process, track and reconcile department invoices
- Ensure email, phone calls and other messages are delivered to the appropriate manager or responsible party in a timely manner, acting with the appropriate sense of urgency
- Effectively arrange meetings, conference calls and videoconferences
- Coordinate staff meetings and client meetings as necessary; prioritize meeting requests based on importance and schedules accordingly
- Collaborate with cross functional teams to coordinate projects and meet deadlines
- Arrange domestic and international travel
- Coordinate participation of Corporate and Client events
- Execute special projects and assignments as directed, specifically dealing with administrative functions and the coordination of events [e.g., arrange catering, coordinate location, etc.]
- Plan/coordinate various events in conjunction with internal departments
- Other duties as assigned
Qualifications
- Bachelor’s degree in a related field or equivalent work experience
- Minimum of 2 years experience working in a corporate function (consulting, finance, accounting). In a production or broadcast media environment a plus
- Highly detail-oriented with proven time management skills and ability to prioritize tasks effectively
- Strong clerical skills, including data entry and record keeping
- Proficiency in Microsoft Office Suite including Outlook and Teams
- Familiarity with SAP is a plus
- Excellent written and verbal communication skills
- Bilingual - English and Spanish a plus
- Demonstrated ability to take ownership of assigned projects and exercise resourcefulness and creativity in obtaining solutions

- Must be willing to facilitate personnel requirements including late and/or last-minute scheduling changes in a 24/7 production work environment
- Must be willing to travel as needed, sometimes on short notice
