Production Finance Coordinator
Summary of Role
The Production Finance Coordinator will be responsible for managing the purchase order process from initiation to completion. The role will support the execution of the financial workflow process for a studio and will ensure that all orders for the studio are placed accurately and submitted on time. This role demands excellent organizational skills, attention to detail, and the ability to work independently as well as within a team in a fast-paced environment.
Responsibilities
Create, receive, and manage P.O.s in the required system i.e. SAP
- Update tracker database with required project details.
- Create P.O. with accurate tracker information.
- Monitor and track P.O. status; follow up with workflow approvers and Finance department to ensure agreed delivery time.
- Update all trackers and dashboards with notes, documents, as necessary
- Provide approved P.O. numbers to suppliers and verify vendor information on invoices.
- Request supplier invoices and ensure accuracy.
Proactively collaborate with the Finance Department to ensure timely processing and payment of invoices:
- Submit all necessary payment/ financial information to Finance Department.
- Update tracker database to reflect progress.
- Actively track payment status and communicate estimated timelines to suppliers, vendors, and other stakeholders.
- Address and resolve any discrepancies or issues with account balances promptly.
- Maintain close communication with all parties utilizing all available resources.
- Work with Studio Operations head to identify priorities, and address critical deadlines.
- Ensure P.O. alignment with project budget.
- Provide onboarding support for Talent, and as it relates to POs, invoice processing, timesheets, etc.
- Oversee & maintain all vendor onboarding, payment tracking, PO and non-PO invoice payment processing, and reporting within the studio.
- Coordinate with all payment partners ensuring systems are working properly and flagging roadblocks to the Finance and Operations Leads as they arise.
- Support the Finance and Operations team to accurately input project finance, budgeting, cost tracking, and billing procedures within the Studio.
- Support with data pulls for audits, budgeting and planning purposes.
- Assist with financial tracking and project reconciliation best practices with guidance from Finance, Production, and studio stakeholders
Qualifications
- Bachelor’s degree in Business, Accounting, Finance, Economics or related field a plus
- 3 years of experience within the accounting/finance space, in production finance, payroll & analytics a plus.
- Proficient in Microsoft Office Suite including Excel, Outlook and Teams
- Experience with SAP a plus
- Familiarity with Google Suite, Charting, and reporting databases applications such as Smartsheet, Airtable a plus
- Spanish language proficiency a plus
- Excellent verbal and written communication skills and superior interpersonal skills including courtesy, professionalism, and a cooperative attitude.
- Excellent problem-solving skills with the ability to identify existing or potential problems and recommend solutions.
- Ability to take direction & execute established workflows with pristine accuracy & conscious collaboration.
- Ability to professionally deal with a wide cross section of people both internal and external to the business.
- Strong proficiency in financial software including ability to track invoices, run reports, data entry, etc.
- Highly organized and detail-oriented with proven time management skills and ability to prioritize tasks effectively
- Strong clerical skills, including data entry and record keeping
- Demonstrated ability to take ownership of assigned projects and exercise resourcefulness and creativity in obtaining solutions.
