Job Title: Accounting Clerk
Reports to: Controller

Position Type: Full-time (36 hours per week, Monday – Thursday)
General Purpose/Summary
Under the supervision of the Controller, the Accounting Clerk performs clerical and accounting functions to maintain a systematic set of financial records for Medical Ambassadors International (MAI). The role includes processing accounts payable, payroll, donations, and reconciliations, as well as assisting with budget preparation, audits, and financial reporting. This position requires proficiency in QuickBooks Online and a willingness to learn donor CRM software. The Accounting Clerk ensures accurate, efficient, and timely financial transactions, contributing to the success of MAI's ministry.
Essential Duties & Responsibilities
- Process and enter Accounts Payable transactions, including support payments to staff in field areas.
- Perform bank, account, and fund reconciliations.
- Correspond with field staff to maintain accurate payment and budget information while fostering professional relationships.
- Assist with budget preparation, audit support, and financial reporting.
- Distribute month-end financial reports to self-raised staff.
- Train volunteers, as needed, in basic accounting processes.
- Maintain and update accounting process manuals.
- Use donor CRM software to process and track donations (experience preferred but not required).
- Generate and run special reports as needed from accounting tools and donor management software.
- Uphold financial confidentiality and adhere to MAI’s organizational values.
Work Schedule
- Flexible hours: Monday – Thursday, 8 AM - 5 PM). MAI works a four-day workweek Monday – Thursday). After training, some remote work via online cloud software is possible.

Education & Experience
- Bachelor's degree in accounting preferred (equivalent experience considered).
- Experience in QuickBooks Online required.
- Prior experience with donor CRM software is preferable.
- Fund accounting experience is a BIG plus!!!
Skills & Abilities
- Proficiency in Microsoft Excel and Word.
- Strong data entry and typing skills (minimum 45 WPM).
- Excellent organizational skills with attention to detail.
- Strong customer service and interpersonal communication skills.
- Ability to work independently, prioritize tasks, and manage time effectively.
- Innovative mindset, desire to be part of a team that is constantly improving efficiency.
