FRONT DESK DESCRIPTION
This front office position is the front-line contact for all persons with the clinic. This position is unique and demanding since the individual is expected to be the information person and the primary contact for the clinic. The purpose of this position is to deal with all persons contacting the clinic and either handle their needs or direct them to the appropriate person/department. The individual must be willing and able to vary their duties/attentions without notice or planning. They must go from one duty to the next without difficulty. It is expected that this individual will work without supervision and will make the necessary accommodations to see that patients are taken care of, and that workflow is promoted quickly and effectively. Response to patient needs is the primary duty of all clinic employees but is especially important for this individual. On a daily basis, this individual will perform the following responsibilities:
FRONT DESK RESPONSIBILITIES:
- Answer all telephone calls, make patient appointments, register patients, take and relay messages to lab personnel and perform all functions necessary to accommodate the activities of the lab
- Register new patients into the computer system and verify registration fields on established patients for accuracy, completeness, and changes
- Verify that all necessary forms are completed and entered into the patient chart
- Check out patients following their visit by completing the encounter form with codes and prices
- Collect any patient payment and document on the encounter form, with copy to the patient
- Collect any prior balances due at the time check-out
- Answer incoming telephone calls and direct calls to the appropriate party or assist caller with information/service
- Record messages left on the voice mail system for disposition
- Clean and organize stationary storage closet
- Stock workstation with supplies
- Keep work area clean and organized at all times, remove any unnecessary items
- Check all waiting patients to verify that they have been registered/helped
- Function as a fill-in for absent coworkers and during lunch and break periods
- Remain at the front desk at all times to attend to patients and telephone calls
- Count and verify the cash balance at the end of each day; account for any discrepancies
- Remove all messages from voice mail before leaving each day
- Perform all duties as directed by the Office Manager
- At all times, respond and interact with all patients, callers, visitors, and coworkers in a friendly and helpful manner
SECONDARY DUTIES:
Provide assistance to Medical Records and Billing Departments, scanning, fielding account questions and whatever other duties are necessary
It is expected that all patients, coworkers, clients, and visitors of the clinic will be treated with respect, honesty and fair treatment whether in person or via other means. It is also expected that all employees will exhibit professionalism in their actions at all times while on duty.
