Referral Coordinator
SUMMARY: The Referral Coordinator is responsible for coordination of any additional care needs of the patient inside and outside of our facility. This position is responsible for scheduling of care, obtaining prior authorization as needed, and communication between the patient and/or provider regarding additional care needs and any follow up care required.
DUTIES and RESPONSIBILITIES:
- Obtains referrals and prior authorizations through internet, phone, and/or fax.
- Faxes referrals or orders to specialists and/or hospitals.
- Call clinical information to insurance companies for preauthorization of outpatient procedures.
- Schedule appointments according to office procedure and to patients need, notifies patients of appointment times.
- Ensure referrals are noted and completed appropriately in eClinicalWorks.
- Attend insurance meetings/in-services as needed and update providers and practice manager of changes as necessary.
- Always maintains patient confidentiality, always adhering to HIPAA guidelines.
- Communicates effectively by telephone and to the patient at his/her level of understanding.
- Promotes positive public relations to patients, visitors, families, providers, and others.
- Physical appearance and conduct is consistent with acceptable professional ethics and MAP standards.
- Performs other duties and responsibilities as assigned by supervisor.
EDUCATION:
- Associates Degree, Bachelors Degree preferred and at least two years of work related experience in social services or medical field or a combination of education and experience, or 3-5 years of experience in an medical office setting.
EXPERIENCE, KNOWLEDGE and SKILLS:
- Ability to work under pressure, independently, exercise creativity, be attentive to detail, and maintain a positive attitude.
- Comprehensive knowledge of all available services provided at Medical Associates Plus, community resources, intake and evaluation process, managing multiple priorities, problem solving, managing change and conflict.
- Communicating effectively in both written and verbal form.
- Manage time and deal with multiple priorities, problem solve, exercise sound judgment, define problems/barriers, collect data, establish facts and draw valid conclusions, make decisions, maintain confidentiality, listen well, maintain records and data, use computer and various programs to effectively communicate as necessary.
- Ability to initiate effective communication with patients.
- Individual needs to be compassionate, competent, and assume professional accountability for interactions with consumers, public and staff. In addition, they should be able to function in a team environment, have good work ethics, and a mature understanding of cultural diversity.
- Must have excellent customer service and communication skills with the ability effectively calm patients and be able to deal with distressed and/or agitated patients and their families.
- Must have a professional demeanor and show MAP in a positive light at all times.
PHYSICAL DEMANDS:

- Works in an office environment for long periods of time.
- Work may require sitting for long periods of time, stooping, bending and stretching for files and supplies. Occasionally lifting files or paper weighing up to 30 pounds.
- Requires manual dexterity sufficient to operate a keyboard and hearing must be in the normal range for telephone contacts.
WORKING CONDITIONS:
The Referral Coordinator position requires interaction with diverse groups of patients, customers and vendors thus working conditions require significant tact and judgment daily.
