Job Summary:
Algone Premier Pain Specialists of Alaska is seeking a detail-oriented and experienced Surgery Scheduler to coordinate in-office procedures, surgeries at multiple ambulatory surgical centers (ASCs) and hospitals. The ideal candidate will have a strong understanding of scheduling protocols and the ability to work efficiently within authorization windows. Familiarity with prior authorization processes is beneficial. This role requires excellent communication and organizational skills to ensure seamless surgical scheduling and optimal patient care.
Key Responsibilities:
1. Surgical Scheduling:
- Schedule in-office procedures and surgeries at multiple ASCs based on physician availability, patient needs, and facility requirements
- Ensure all procedures are scheduled within the prior authorization dates
- Confirm and coordinate surgical times with ASCs, patients, reps and providers
2. Authorization Coordination
- Review prior authorizations for accuracy and completeness before scheduling
- Communicate with the billing or authorization team as needed to address discrepancies or obtain updates
- Ensure adherence to insurance guidelines, including scheduling within approval windows
3. Communication and Coordination
- Provide patients with detailed instructions regarding pre and post operative care, arrival times and procedure preparation
- Coordinate with clinical staff to ensure all necessary documentation, equipment, vendors, and supplies are ready for procedures
- Act as a liaison between providers, ASCs, and patients to address scheduling concerns and ensure a smooth process
4. Documentation and Record Keeping:
- Maintain accurate and up-to-date surgical schedules in the clinics EHR
- Document patient interactions and scheduling details in the EHR
- Monitor and confirm upcoming surgical appointments to avoid delays or cancellations
5. Additional Duties:
- Assist with rescheduling procedures as needed due to changes in authorizations, patient availability, or provider schedules
- Collaborate with clinical and administrative teams to support the overall efficiency of the procedure scheduling process
- Maintain confidentiality and professionalism when handling patient information
- Additional duties as assigned
Preferred Qualifications:
Minimum of 2 years of experience in surgical scheduling, preferably in a pain management or specialty clinic setting
Familiarity with prior authorization and insurance requirements
Proficient in scheduling software and EHR systems
Strong organizational and time management skills with a high attention to detail
Excellent communication and interpersonal skills
Ability to remain calm under pressure in a fast-paced environment
Experience scheduling for multiple providers or surgical centers
Knowledge of pain management procedures and terminology
Salary DOE
