Staffing Coordinator
Coordinates scheduling of employees for all departments and positions based on resident needs,
established staffing patterns and responsible utilization of resources. Assists with recruiting, advertising,
interviewing and hiring of new employees.
RESPONSIBILITIES:
- Responsible for working hours as scheduled. Routine attendance required.
- Creates and maintains employee schedules for all positions and departments according to budgeted staffing patterns.
- Presents proposed schedules to department managers for review and approval prior to posting.
- Maintains the electronic scheduling system for all facility departments and positions.
- Establishes & communicates schedules to new employees upon hire.
- Finds coverage for shift vacancies due to open positions, scheduled and unscheduled PTO, call-offs, Work Comp, FMLA or other leaves of absence.
- Creates, distributes and updates daily staffing assignments in electronic schedule and on daily staffing sheets.
- Creates, posts, validates and maintains nursing department BIPA postings according to regulations.
- Notifies department supervisors of open positions and shift vacancies due to scheduled and unscheduled PTO, call-offs, Work Comp, FMLA or other leaves of absence.
- Notifies department supervisors of employee unscheduled PTO (call-offs) and attempts to cover shift vacancies in a timely manner.
- Posts open shifts/shift vacancies and extra shift incentives utilizing the electronic scheduling system.
- May be required to work shift vacancies when necessary and as directed by supervisor.
- Notifies the Director of Nursing or Infection Preventionist of call-offs due to employee illness for the purpose of maintaining employee infection logs.
- Completes reports for purposes of QAPI or upon request by department managers for retention, turnover, open positions, shift vacancies, unscheduled PTO/call-offs, attendance, hires, terminations or others as requested..
- Completes and monitors hours per patient day and employee utilization reports on an ongoing basis making appropriate adjustments.
- Provides training on employee electronic application for schedules, requesting time off, open shifts.
- Under supervision of department managers, assists with recruiting & advertising efforts, interviewing and hiring new employees.
- Attending interdepartmental, management, and corporate meetings as directed.
- Participating in performance improvement plans as it relates to the workforce.
- Completing Medicalodges, Inc., state and federally required training.
- Follow Medicalodges policies and procedures, including compliance & code of ethics & conduct.
- Submitting required reports to Service Center, Regional personnel in a timely and accurate manner.
- Other duties as assigned.
REQUIRED QUALIFICATIONS:
? Certification as a CNA or previous scheduling experience in a healthcare setting
? Preferred minimum one year experience in long term care
? Excellent computer skills
? Current CPR certification or willingness to obtain
? Ability to take initiative, negotiate and make judgment calls
? Excellent written and oral communication skills
? Possess strong organizational and time management skills
